Robert Half Facilities Coordinator in Irvine, California

Description We are seeking a Facilities Coordinator to join our team in Toms River, New Jersey. This role will primarily focus on facilities management tasks, requiring the successful candidate to monitor and manage a variety of office functions. This role offers a short term contract employment opportunity.

Responsibilities:

• Monitor and respond to emails, ensuring prompt and effective communication with all stakeholders.

• Create, administer, and close out work orders efficiently.

• Issue purchase orders in a detailed and timely manner.

• Run reports and analyze data to assess performance and progress.

• Handle ad hoc requests with agility and proficiency.

• Acknowledge all client inquiries and collect work orders in a professional manner.

• Compile and analyze information reports to track performance and progress status.

• File work orders, department files, and other paperwork submitted by vendors.

• Monitor activities outside the building, including waste disposal and recycling procedures.

• Respond to inquiries or complaints from clients, co-workers, and supervisors in a respectful and efficient manner.

• Utilize existing procedures to solve straightforward problems, demonstrating good judgment and discretion.

• Deliver output by following defined procedures and processes under supervision and guidance. Requirements • Strong communication skills, with the ability to manage correspondence and paperwork effectively.

• Proficiency in office functions and procedures, with an emphasis on supervising and coordinating with vendors.

• Ability to perform ad hoc financial tasks and monitor progress using specific tools and methods.

• Experience in building and maintaining strong client relations.

• Proficiency in Microsoft Office Suites.

• Familiarity with SAN - Storage Area Network.

• Experience in facilities management, including handling complaints and managing work orders.

• Ability to pass a drug test as part of the hiring process.

• Must possess a high school diploma or equivalent.

• Experience in managing department files and issuing purchase orders.

• Demonstrated skills in closing tasks and projects effectively.

• Ability to work in a team and coordinate with various departments.
