We are seeking a highly organized and proactive Executive Assistant to provide comprehensive administrative support to the Vice President of our Civil Engineering firm. The ideal candidate will be adept at managing multiple tasks, possess excellent communication skills, and demonstrate the ability to prioritize effectively in a fast-paced environment. This role requires a high level of professionalism, discretion, and attention to detail. Qualifications:

  • Bachelor's degree preferred, or equivalent combination of education and experience.

  • Proven experience as an executive assistant or similar role, preferably supporting senior-level executives.

  • Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines.

  • strong written and verbal communication skills, including professional phone etiquette.

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.

  • Ability to maintain confidentiality and exercise sound judgment in handling sensitive information.

  • Attention to detail and accuracy in all work tasks.

  • Flexibility and adaptability to changing priorities and work demands.

  • Positive attitude, proactive mindset, and willingness to take on new challenges.

  • Previous experience in the engineering or construction industry is a plus, but not required.

salary: $55,000 - $65,000 per year

Responsibilities

Calendar Management: Coordinate and manage the VP's schedule, including scheduling meetings, appointments, and travel arrangements.

Communication: Serve as the primary point of contact for internal and external stakeholders, screening and directing inquiries appropriately.

Email Management: Monitor and manage the VP's email inbox, prioritizing messages, drafting responses, and flagging urgent matters for attention. Ensure timely responses to inquiries and follow-up on action items as necessary.

Documentation: Prepare and edit correspondence, reports, presentations, and other documents as needed.

Meeting Support: Assist in the preparation of meeting agendas, materials, and presentations. Attend meetings as requested, take minutes, and follow up on action items.

Travel Coordination: Arrange travel logistics including flights, accommodations, and transportation for business trips.

Expense Management: Process expense reports and reconcile credit card statements in a timely manner.

Project Support: Provide administrative support for special projects as assigned by the VP, including research, data analysis, and presentation preparation.

Information Management: Maintain organized filing systems, both electronic and physical, to ensure easy access to important documents and information.

Relationship Building: Foster positive working relationships with internal teams, clients, and external partners to facilitate effective communication and collaboration.
