Job Description Summary:

The Executive Assistant will be responsible for providing administrative support to the Vice Chancellor and Director of The University of Kansas Cancer Center. Incumbent will handle wide variety of complex delegated administrative responsibilities that require a detail-oriented person who is self-motivated, and capable of managing multiple tasks. This position will help with all facets of the daily operations of the Director\'s office.

The University of Kansas Cancer Center is the only National Cancer Institute designated Comprehensive Cancer Center in the region, 1 of only 57 in the nation to receive this distinction. Patients gain access to the most promising therapies, cutting-edge clinical trials and world class research.

Job Description:

Required Qualifications

Education: Bachelor\'s degree in business administration or related field or an equivalent combination of education and relevant work experience on a year for year basis.

Work Experience: Minimum of 5 years\' experience, with increasing responsibilities.

Preferred Qualifications

Work Experience: Previous experience in an academic environment highly preferred.

Skills:

  • Must be proficient in Microsoft Office (Excel, Word and PowerPoint)
  • Must be knowledgeable of both PC and Mac
  • Database skills.
  • Able to organize work effectively to achieve timely progress on multiple simultaneous tasks, meet deadlines, and maintain a high level of productivity.
  • Able to multi-task and balance competing priorities.
  • Must possess excellent communication skills and be able to interact in a positive manner with patients, physicians, faculty, and outside private and public sector leaders.
  • Must be able to work independently and use good personal judgment in making decisions.

Job Duties Outlined:

  • Review incoming communications and respond when appropriate, drafting responses to incoming requests and referring on when necessary.
  • Act as liaison between the Director\'s office, and other administrative offices of the senior leadership of the University, governmental agencies, and private organizations.
  • Maintain and organize the highly complex calendars for cancer center meetings chaired by the Director and associated cancer center staff.
  • Provide administrative support for board meetings, faculty meetings, and other essential meetings (including but not limited to): arranging for travel for out of state attendees, recording and distribution of minutes, drafting and distributing agendas, preparing presentation materials, organizing catering, and arranging for transportation of attendees and processing expenses.
  • Coordinate payment of specific departmental expenses utilizing appropriate funding sources. Including but not limited to office supplies, subscriptions, software, and personal expenses. Work collaboratively with the Finance team on institutional finance tracking and reporting.
  • Prepare PowerPoint slides for professional presentations and correspondence as requested/required.
  • Use of Excel, Word, Outlook, and iCal to create organizational charts, graphs, spreadsheets, and other documents.
  • Take initiative/ownership of job responsibilities for the office of the Director.
  • Responsible for continued updating of CV, biosketch, and speaker presentations. Handle onfidential information in a trustworthy manner.
  • Event support for all day meetings including but not limited to arranging of travel for out of state attendees, creation of agendas, catering requests, recording and distribution of minutes, and the processing of expenses.
  • Will work closely with the Associate Director of Administration, Senior Director of Human Resources and Senior Director of Communications and Client Relations Coordinator on projects and special events for the Cancer Center.
