POSITION SUMMARY

The HIM Clerk-Release of Information is responsible for processing stat and urgent Releases of Information (ROIs), Entry of ROIs into Disclosure Management, and assisting HIM Specialist as needed. This position is also cross-trained to provide coverage for other Department positions as needed for absences.

ESSENTIAL DUTIES AND RESPONSIBILITIES

The essential functions include, but are not limited to the following:

• Proccesses Release of Information requests received for information to and from other agencies, care providers, attorneys, client requests, etc. per ROI procedure and entering into the Disclosure Management form in the EMR.

• Determines records to be released by reviewing requestor information in accordance with HIPAA guidelines and obtaining pertinent client data from various sources, including electronic, off-site, or physical records that match the client request. Scan records into the EMR database.

• Reviews ROIs in draft weekly and follows up with staff as appropriate to determine appropriate action.

• Responds to walk-in customers requesting assistance and logs information into the EMR as appropriate.

• Grants or Revokes access to the Health Information Exchange as appropriate based on new intakes and clients in substance use treatment programs.

• Assists HIM Specialist with fielding incoming department calls.

• Reviews monthly discharge reports, notifies clinicians of need to complete discharge summaries, and discharges clients in EMR per agency procedures.

• Preps and distributes the Repetitive Documentation reports daily for scheduled appointments.

• Scans various types of documentation received into EMR as needed.

• Assists with PRN document requests throughout the day.

• Assists and provides backup and assistance for other HIM positions as needed/assigned.

• Reviews HIM procedures at least annually to determine if any updates/changes are needed.

• Other duties and/or responsibilities as assigned by Manager.

MINIMUM QUALIFICATIONS (KNOWLEDGE, SKILLS, AND ABILITIES)

Education: High School diploma or equivalent required; Associates Degree in HIM related field preferred

Experience Required: 1-2 years of similar position-related experience. One year of previous medical office experience preferred. One year prior experience working in a behavioral health environment preferred.

Required Knowledge: Basic PC knowledge/skills with experience in Microsoft Office products required; Medical records terminology required; Data entry experience required; HIPAA/Privacy regulations required.
