The Seattle Times Accounting Assistant in Kent, Washington

The Seattle Times is seeking an Accounting Assistant to join our Operations team in Kent, WA. Under the direction of the Production Support Manager, it is the responsibility of the Accounting Assistant to compile data, track job costs, and generate invoices for commercial print customers. Covers as receptionist and assists with payroll timekeeping.

 

Responsibilities:

  • Track inventoried raw material and job-related purchase orders.

  • Match receiving to PO and enters receipts into MIS System for raw materials and job-related purchase orders.

  • AP Invoice roll stock and raw materials invoices in MIS System.

  • Verifies Plate Room reports, Press records, Packaging records and product sample against workorders and work tickets. 

  • Enters information into MIS System to generate accurate invoices according to estimates and/or quote sheets provided by the sales department as well as additional chargeable tasks performed.

  • Provides invoices to Finance within 3 business days of job completion (shipped).

  • Records Postage Usage in MIS System

  • Enter Postage deposits in MIS System.

  • Balance Postage accounts and generate month-end reports to forward to Finance.

  • Cover Reception for breaks and lunch.

  • Provide backup, vacation relief, and cross training for other Operation Support team members.

  • Record Press, Platemaking and Warehouse employee timesheets/payroll hours into spreadsheet.  Send to managers for approval and forward to payroll weekly.

  • Accurate filing and record retention of accounts.

     

    Qualifications:

  • Education: College degree preferred.

  • Experience: One or more years of experience working in a billing related environment preferred.

  • Experience in customer service.

  • Experience working with Microsoft Excel and Word.

  • Solid verbal and written communication skills.

  • Organizational skills to handle a high volume of moderately complex transactions and meet daily/weekly/monthly deadlines.

  • Ability to multi-task, work under deadline pressure and as a member of a team.

  • Attention to detail and accuracy, and excellent math ability.

     

    Work Location:  This is a fully onsite position at our Kent Operations Facility.

     

    Compensation: The full salary range for this position is $41,200 to $55,100. We typically pay between $41,200 and $50,500, depending on experience and qualifications.
