UNITED ELEVATOR SERVICES LLC Dispatch in Knoxville, Tennessee

Summary: Dispatch is responsible for scheduling and assigning service crews for daily tasks. This role involves receiving and preparing work orders, monitoring jobs in progress, informing personnel about logistic problems or updates, and addressing questions or complaints from personnel and clients. The Dispatcher also records and maintains data related to the day's workload, including mechanical breakdowns, customer requests, and all associated charges and expenses.

Essential Duties and Responsibilities include the following: Dispatch Operations and Coordination:

  • Serve as the primary point of contact for service calls, responsible for answering the service phone.
  • Receive requests for service from customers and accurately record all details on work orders.
  • Determine personnel requirements and dispatch personnel according to schedules, specifications, and work orders.
  • Monitor personnel locations and utilization to coordinate service and schedules.
  • Schedule assignments and coordinate activities of technical staff on a day-to-day basis.
  • Support the schedule of the after-hours on call rotation.
  • Follow up on jobs in progress and on outstanding jobs weekly, documenting the status.

Customer and Personnel Communication:

  • Act as a liaison between customers or supervising personnel and service technicians to address questions, problems, or requests for service or equipment.
  • Provide assistance and support to service technicians.
  • Address and resolve customer complaints and inquiries promptly and professionally.

Record Keeping and Reporting:

  • Maintain work records and logs of Technicians' activities.
  • Manage the customer portal and distribute outgoing invoices.
  • Assist with contract entry.
  • Record and maintain data related to the day's workload, including mechanical breakdowns, customer requests, and all associated charges and expenses.

Supervisory Responsibility: This job has no direct supervisory responsibilities.

Education/Experience: High school diploma, or equivalent. Minimum two (2) years of relevant work experience.

Language Ability: Effectively communicate in both oral and written form with employees, clients, vendors, and management. Strong interpersonal communication skills. Must have good grammar, voice, and diction.
