Job Summary:
Robert Half is seeking a skilled Senior Administrative Assistant (HYBRID) to support the Director of Engineering for our client in the higher education sector. This contract role involves providing high-level administrative support, performing a broad range of duties that require discretion, tact, independent judgment, and strong organizational skills. The Senior Administrative Assistant will play a crucial role in managing the Director’s complex schedule, facilitating communication, and coordinating a variety of high-profile events and projects to advance the mission of the Center for Engineering. This role is primarily remote-1 day a week in office required.
Key Responsibilities:
Calendar and Schedule Management: Efficiently coordinate, schedule, and manage the Director’s calendar, including industry appointments, meetings, and workshops.
Event Coordination: Organize and execute high-profile events such as site visits, research reviews, and workshops. Oversee the entire event planning process from start to finish, including venue arrangement, catering, A/V services, and travel logistics.
Financial Oversight: Prepare event budgets, track expenses, and review post-event costs for accuracy. Process related transactions and reimbursements in a timely manner.
Documentation and Correspondence: Draft and prepare technical and non-technical correspondence, reports, and presentation materials. Ensure all documents are polished and completed on time.
Administrative Support: Assist with travel arrangements, purchasing, and processing of disbursement requests in alignment with institutional policies.
Additional Duties: Contribute to special projects and initiatives, enhancing operational efficiency and supporting the Center’s goals.
Requirements
Required Skills and Qualifications:
Experience: Demonstrated experience providing high-level administrative support in a corporate or academic environment.
Technical Proficiency: Skilled in MS Word, Outlook, Excel, PowerPoint, Adobe Acrobat, Google Docs, Google Sheets, G-mail, and internet browsers.
Organizational Skills: Proven ability to handle complex scheduling and coordinate seminars, meetings, and events.
Calendar Management: Extensive experience managing complex calendars and prioritizing conflicting tasks.
Financial Acumen: Competence in preparing budgets, processing travel and purchasing requests, and managing disbursements effectively.
Communication Skills: Strong written and verbal communication skills with the ability to interact professionally with various stakeholders.
