UCLA Health Administrative Assistant - Kidney Transplant Program in Los Angeles, California
Description
In this position you will provide administrative support to the Kidney Transplant Program. Responsibilities include but are not limited to:
screening of program-related calls
scheduling and coordination of outpatient procedures for transplant evaluations and re-evaluations patients
preparation and maintenance of patient charts, and procedures related to list maintenance, re-evaluations and assisting in outpatient clinic, type, faxing and maintaining records for Transplant Program
assisting nurse coordinators with administrative duties
providing coverage of other administrative staff as assigned when necessary
providing support for process improvement projects
maintenance of EMR
delivering CICARE World Class Care expectations in all dealings with clients and colleagues, complying with all hospital and departmental work rules
Salary Range: $24.57-$34.87/hourlyQualifications
Required:
Skill in prioritizing assignments to complete work in a timely and accurate manner when there are changes in assignment, pressures of deadlines, completing requirements and heavy workload
Ability to work independently
Ability to communicate with patients, referring physicians, transplant team members, insurance companies case managers, governmental agencies, hospital staff, and other groups in a professional, diplomatic manner over the telephone and in person
Ability to abstract medical information accurately from patient file
Working knowledge of resources within outpatient and an acute care medical center with commensurate ability to refer individuals to appropriate departments
Knowledge of medical terminology to communicate effectively with physicians, nurses and other members of the health care community
Demonstrated skill in operating a PC and laser printer to quickly and accurately prepare, type and distribute forms, correspondence, and schedules
Demonstrated skill in routine data entry
Demonstrated skill in operating copy machine, and other standard office equipment
Ability to work with and maintain confidential patient information
Previous experience in a health care setting working with health care professionals and patients
Ability to establish and maintain cooperative and collaborative working relationship with administrative, clinical and academic personnel
Ability to accept ambiguous circumstances and take action where answers to a problem are not readily apparent
Ability to use diplomacy and respect confidentiality in sensitive situations
Skill in following through on assignments to completion
Oral and written communication skills to convey information clearly to patients, faculty and staff
Ability to deal with patients from diverse backgrounds, referring physicians, clinic staff, insurance companies, the media, government agencies and other groups in a professional, diplomatic and compassionate manner whether by phone or in person
Typing skill sufficient to input verbal or written data into CRT with accuracy and speed. (Required)
English/Spanish bilingual oral communication skills to conduct admission/registration interviews
Knowledge of third party insurances, government programs and other insurance agencies for purposes of obtaining any necessary authorizations for treatment
Experience working in a medical setting
Knowledge and skills to apply appropriate business telephone etiquette on multi-line phones
Ability to maintain confidentiality on patient and physician issues
Ability to research medical diagnosis and procedure codes in CPT Code book and ICD-9 code book
Recent patient registration and appointment scheduling experience
Demonstrate excellent interpersonal skills, customer service skills, time management and organizational skills
Preferred:
Familiarity with Microsoft Word, Excel and Access.
Knowledge of UCLA Medical Center policy and procedures.
Working knowledge of patient-related policies and procedures, as well as a thorough understanding of the University system
Experience with UCLA EHR (CareConnect)
