Position Description:

Manages and directs the day to day operations of a research center/institute or medium sized department. Plans, coordinates and supervises the operation and activities of the center/institute/department. Develops and implements policies and procedures, administers the budget, organizes tasks and sets priorities.

Major/Essential Functions:

  1. Strategic Planning and Execution:

  2. Collaborate with the Executive Director and senior leadership to develop and implement strategic plans, ensuring efficiencies with scale.

  3. Ensure alignment of departmental goals with the organization's mission and vision.

  4. Monitor progress of key initiatives and projects, providing regular updates to the executive team.

  5. Operational Management:

  6. Oversee the daily operations of the executive office, ensuring efficiency and effectiveness.

  7. Coordinate cross-functional initiatives and facilitate communication between US PREP teams and all the streams of technical assistance services.

  8. Executive Support:

  9. Serve as a trusted advisor to the Executive Director, providing insights and recommendations on key issues.

  10. Prepare materials, reports, and presentations for leadership retreats.

  11. Project Management:

  12. Lead and manage special projects and initiatives as assigned by the Executive Director.

  13. Develop project plans, scopes of work, set timelines, and ensure successful execution and delivery of outcomes.

  14. Identify and mitigate risks, resolving issues that arise during project implementation.

  15. Team Leadership and Development:

  16. Supervise and mentor staff within the executive office, fostering a collaborative and high-performing team environment.

  17. Promote professional development and continuous learning opportunities for team members.

  18. Lead by example, demonstrating the organization's values and culture in all interactions.

  19. Communication and Collaboration:

  20. Ensure effective internal and external communication strategies are in place.

  21. Facilitate collaboration and information sharing across the organization.

  22. Represent the Executive Director in meetings and events as needed.

  23. Leadership Development:

  24. Identify and nurture emerging leaders within the organization.

  25. Develop and implement leadership development programs to build the capacity of current and future leaders.

  26. Provide coaching and mentorship to high-potential employees, preparing them for greater responsibilities.

  27. Promote a culture of continuous improvement, encouraging innovation and leadership at all levels.

Preferred Qualifications:

Education: Bachelor’s degree required

Experience: Minimum of 7-10 years of experience in a strategic, operational, or senior management role, preferably in a non-profit, educational, or corporate setting.

Skills:

  • Strong leadership and team management skills.

  • Excellent organizational and project management abilities.

  • Exceptional written and verbal communication skills.

  • Ability to think strategically and execute effectively.

  • High level of discretion and confidentiality.

  • Proficiency in project management tools.
