The Pediatric BMT/CT Division includes 16 faculty, 7 advanced practice providers, and 32 administrative and research staff. The division faculty are focused on clinical and translational research aimed at changing the practice of medicine and developing gene and cellular therapies with the potential of curing otherwise incurable diseases. The Administrative Associate will support division faculty in their day-to-day activities, including managing complex scheduling, understanding and informing faculty of University policies, and arranging travel. This position will also manage a monthly hybrid division conference and supervise undergraduate students. This position is a combination of work-from-home and on-campus days. Essential Employees: The successful candidate will be designated as an Essential Employee. Essential Employees are expected to report to campus during a University State of Emergency (reduced operations or campus closure) unless specifically directed by the Department not to report or if directed by civil emergency or medical authorities not to report for health and safety reasons. As an Essential Employee, you must report to campus even if the closure is less than 3 days. Job Duties: 100% - Achieve Pediatric Blood and Marrow Transplant and Cellular Therapy (BMT/CT) Division Administrative Goals Faculty Support 50% * Manage several complex faculty calendars, including prioritizing and scheduling appointments, planning meetings, and scheduling personnel interviews for assigned faculty. * Independently update faculty CVs, and biosketches on a regular and ongoing basis for assigned faculty. * Obtain and process documentation for performance appraisals, promotion and tenure, and committee responsibilities, as assigned. * Coordinate travel arrangements for meetings, conferences, and speaking engagements (airline reservations, hotel reservations and meeting registration). * Submit travel and miscellaneous expenses for reimbursement. * Manage professional and journal memberships for assigned faculty. * Onboard new faculty including ordering computers, phones, pagers, and other equipment as necessary. Administration 50% * Develop and oversee administrative and operational workflow for assigned programs/projects. * Manage a monthly hybrid conference. * Conduct analysis and make recommendations to improve effectiveness of business operations to best align with overall department/division goals. * Represent the BMT/CT Program to internal and external agencies and partners. * Ability to identify and act on potential questions/problems and independently resolve these matters. * Serve as local expert on division, department and UMN administrative policies and procedures. Ability to explain policies and procedures to others. * Submit timely payments for clinical trial invoices and divisional vendors. * Identify vendors and negotiate business/services contract(s). * Utilize knowledge of division faculty research projects and associated timelines and deliverables to ensure time-sensitive requests are fulfilled. * Serve as the point person for the faculty in the division. * Hire, train, and supervise student employees. Qualifications Required Qualifications: * Bachelor's degree or a combination of related education and work experience equal to four years. * Strong written and verbal communication skills. * Ability to develop and maintain positive working relationships. Preferred Qualifications: * Previous work experience in an academic medicine setting, in particular supporting both clinical and academic faculty members. * Microsoft Office, Google Workspace and Zoom proficiency. * Excellent organizational skills and strong attention to detail. * Ability to work independently and in a team setting. * Strong technical and project management skills. * Responds to inquires professionally, accurately and in a timely manner. * Experience in supporting development of manuscripts and/or presentations, including editing for grammar, citation, and refining figures and tables. * Strong problem-solving skills and reputation for taking initiative.
