Position Summary The Department of Pediatrics is seeking an Administrative Manager 1 to support three divisions: Pediatric Blood and Marrow Transplantation & Cellular Therapy, Pediatric Epidemiology and Clinical Research, and Pediatric Hematology/Oncology. This role within the Department will encompass administrative leadership and operational plans, program management, and oversight of department-level special projects. Direct reports of this position include 6 administrative professionals and a Grants & Contracts specialist, as well as multiple student workers. This role will work closely with multiple division administrators to ensure academic, philanthropic, and department initiatives are met. The ideal candidate is someone who is well versed in the academic missions of the Department, has strong program management and organizational skills, and is able to collaborate with a wide variety of team members. This position reports directly to the Pediatric BMT & CT Division Administrator, but is accountable to the investigators, and Pediatric Hem/Onc Division Administrator. This position is a combination of work-from-home and on-campus days. Responsibilities Department Level Support - 30% * Collaborate with Department and Division Administrators to influence and implement strategic initiatives. * Support the Department's priorities by providing oversight and management of internal grant rounds and awards. * Navigate and manage the visa application process across the Department, in partnership with the medical school immigration specialists and ISSS. * Collaborate with HR and Finance to ensure efficient administrative support for hiring request, onboarding, mentoring, promotions and tenure. * Support faculty leadership in achieving Division priorities. * Monitor internal grant program spending, investigate issues, and provide reporting to program leadership. Administrative Operations Leadership - 40% * Lead administrative services to meet divisional needs and create a culture for success. * Lead initiatives to ensure effective and efficient administrative support for the three Divisions, and Department. * Develop standard operating procedures that ensure sustainability and growth of strategic programs. * Provide input into financial budgets, monitor budgets and forecasts in partnership with the Division Administrators, Finance, and Department leadership. * Develops employee skills and engagement, administer disciplinary actions when necessary. * Partner with Division & Department leaders and HR staff on the needs of the Department, including employee relations, recruiting, compensation, leaves, and compliance * Align administrative resources within the Divisions to ensure resources are allocated in support of the strategic plan(s) * Identify and solve operational barriers encountered in working across various offices, departments and programs of the University. * Perform complex problem solving to determine the root cause of, and reasonable solution to, process, communication and reporting errors. Support Faculty Achievement - 10% * Partner with the Division Directors and Administrators to develop and implement strategic initiatives in alignment with the Department. * Assure excellent communication within the Divisions and Department, and with key stakeholders * Support faculty through the promotion and tenure process across the three Divisions. * Collaborate with research administration to meet the needs of the faculty. Special Project Leadership - 10% * Oversee major program event operations to ensure a sustainable financial model while meeting divisional priorities. This includes the MPS Meeting and the Brain Tumor Program Symposium. * Respond to non-routine needs of the Department. * Monitor educational priorities, including but not limited to grant trainees, fellows, and student learners. Communication and Stakeholder Engagement - 10% * Assures excellent communication with the Department and other key stakeholders, including philanthropic partners. * Represent the Divisions, and Department, in developing, strong, beneficial relationships; professionally represent the faculty members, culture and mission of the Divisions. Explain initiatives, and independently resolve complex problems. * Partner with external advocacy groups on projects and issues related to integration of research and clinical care within Pediatric BMT & CT strategic programs. * Oversee communication within the Divisions including website and internal communication. Qualifications Required Qualifications * Bachelor's degree in Business Administration with at least 6 years of related experience * Prior experience working with both clinical and academic faculty members. * Outstanding interpersonal skills including written and verbal communication skills; advanced knowledge of English grammar, punctuation, and spelling. * Experience providing technical assistance to a variety of end users; ability to creatively and independently troubleshoot. * Demonstrated ability to develop professionally and assume increasing levels of responsibility * Strong planning, organizational, and execution skills as well as ability to establish and meet deadlines. * Experience supporting the visa application process in an academic setting * Experience managing the day-to-day aspects of philanthropic grant funding Preferred Qualifications * Previous work experience at the University of Minnesota in the administrative job family. * Familiarity with medical research terminology. * Project management certification and/or demonstrated experience. * Experience with grant and/or programmatic writing and synthesizing. * Experience with coordinating events for Continuing Medical Education credits.
