Terms: This is a 12-month 100% time annually renewable Administrative Professional position. This position will start in mid-August, 2024. It is a hybrid or fully on-campus position; the Managing Director is expected to work on campus at least three days per week, and as needed. The Managing Director at the Institute for Advanced Study (IAS) directs the day-to-day operations and manages the finances of the IAS, a system-wide interdisciplinary center located on the Twin Cities campus. Major responsibilities include: General Administration * Assist director in developing and implementing short-, medium-, and long-term vision and plans for the IAS. * With director, develop agendas for IAS Advisory Board meetings, disseminate materials, and prepare or supervise preparation of meeting minutes. * Represent IAS director on and off campus; serve (formally and informally) as acting director in director's absence. * Serve as Department Facility Representative and Departmental Access Coordinator for IAS for space, safety, and security. Manage space and key access. * Organize materials for IAS annual report; prepare financial statement. * Oversee office management. Financial Oversight * Develop budgets for the IAS as a whole, working with staff in each program area. Advise director on unit finances. * Work with accountant to set up annual budget. Direct accountant to transfer funds into appropriate areas. 2 * Monitor all program budgets. * Review and approve all Institute spending, both non-sponsored and sponsored. * In collaboration with grants developer, create budgets for internal and external grant proposals. * Prepare annual financial reports. * Advise accountant on cosponsorship transfers and other transactions. * As necessary, prepare and submit financial transaction documents. Program Management * Supervise application and selection processes for IAS fellowship and research competitions and other opportunities for support or funding. * Work with each cohort of fellows to facilitate their work while in residence. Manage space assignments, organize introductory retreat and weekly seminars, foster community, and facilitate connections with people beyond the IAS who may be useful in their work. * Support work of Research and Creative Collaboratives, including hiring RAs, assisting with program planning, advising Collaborative conveners on budgetary matters, and connecting Collaborative participants with potential partners within and outside of the University. * With director and program manager, contribute to the development and realization of IAS public programming. As needed, introduce speakers at events, host meals with visiting presenters, and initiate or facilitate connections between visiting presenters and University community members. HR and staff supervision * Supervise a team of IAS staff members including communications manager, program manager, program specialist, Open Rivers editor, and Open Rivers production manager. * Serve as the liaison with the shared services HR team for all IAS HR and employment matters, including hiring of student assistants and professional staff for collaboratives and other supported projects. * Manage selection committees for open staff positions, including correspondence with applicants. Grant Management * Manage budgets for all IAS-based sponsored projects. * Serve as HR liaison for all projects run through the IAS. * Work with project PIs to insure smooth operation of IAS support for all project work * Prepare or assist in preparing financial reports. 3 * Review and approve effort certification for IAS-supported projects * Assist grants developer as needed with grant applications. Qualifications Required qualif cations: * BA/BS with at least 6 years of applicable experience. * Experience with complex budget management * Demonstrated success in managing, supervising, and delegating the implementation of a diverse array of projects and programs * Excellent communication skills, both written and verbal. Ability to communicate effectively with people at all levels of the University, from faculty and students to support staff and senior administration, and with local and state community groups. * Experience supervising people and managing conflict * Commitment to the mission and vision of the IAS * Track record of fostering diversity, accessibility, equity, and inclusion Preferred qualifications: * Master's or PhD with research experience * Experience working with university systems and processes * Experience working with faculty in an academic setting * Experience with University of Minnesota systems * High degree of emotional intelligence and diplomatic savvy About the Department The IAS supports innovative research and creative activity across disciplines, facilitates collaboration, fosters critical engagement with issues and ideas, and builds generative relationships between the University and larger communities locally and globally.
