Requires the ability to work independently while performing assigned operations and student records support. The work is performed using established guidelines and directives. The staff member works within university and college policies and procedures related to education and student life by responding to questions, determining and/or clarifying needs, explaining routine policies and procedures, questions, and generating/analyzing data. The staff member fosters an engaging and professional environment committed to respect, inclusivity, continuous improvement, and teamwork. POSITION RESPONSIBILITIES: Degree Audit and Clearance (30%) Compile and maintain spreadsheets used to monitor degree and minor progress, and completion Perform a preliminary review of student APAS reports for completion Create individual clearance review packets Send communications to students using established templates notifying them of the outcome of the degree review Send weekly updates to the departments with the status of their degree applicants during the review process Index review packets into the student's electronic record in Perceptive Content Use PeopleSoft to update and maintain student record information (25%). Assign Advisor Enrollment requests to add students to CSE 1001 Update and maintain CSE class schedules Applying, updating, and removing Service Indicators individually or by batch (DGR, PB, PC, RS) Applying, updating, and removing Student groups (CSSE, DTMA, DTSC, FYE, ITNW, ITPW, ITFW, SSFX, TYMP) Generate unofficial Transcripts Update student program plan and subplan Update EGT and application status Term activate Enrollment request Orientation (25%) Locking down orientation dates in the orientation database Create and update multiple spreadsheets for each orientation date Schedule orientation appointments with advisors Send reminder and pre-orientation emails to registered students Generate attendance report and update the orientation database Maintain master attendance spreadsheet Manage registration holds Check the orientation database for mismatch and not coming tags Check for students with TYMP student group Notify departments with information about student attending departmental orientation Other Duties (20%) Create academic probation review packets Maintain probation review to spreadsheet Index complete probation packets into the student's electronic record in Perceptive Content Monitor and resolve errors in Perceptive Content. Assist with review of sample plans related to Coursedog program updates Assist with review of Coursedog course updates Generate and filter reports upon request Qualifications REQUIRED: High school diploma/GED and four years operations and/or student support experience Proficiency in the following tools: Microsoft Office Suite: Ability to create and edit documents, presentations, and spreadsheets using Word, PowerPoint, and Excel. Google Workspace: Demonstrated experience with Gmail, Calendar, Drive, Chat, Meet, Docs, Sheets, and Forms. Zoom: Experience using video conferencing tools for webinars and meetings. Proven experience managing and maintaining data using data management systems. Evidence of commitment to and understanding of diversity, equity, and inclusion principles (e.g., through prior training, certifications, or direct experience). PREFERRED: BA/BS degree, or a combination of education and relevant work experience to equal at least four years. Demonstrated ability to deliver high-quality customer service with strong interpersonal and problem-solving skills. Evidence of ability to manage multiple task and effectively reprioritize to meet evolving job expectations. Willingness to cross-train and assist in various administrative or student service areas as required. Familiarity with the University of Minnesota - Twin Cities campus and its systems. Demonstrated proficient working experience with the following UMN applications: APAS: Experience interpreting academic progress reports. Coursedog: Scheduling and curriculum planning. Perceptive Content: Document imaging and workflow. PeopleSoft Enterprise System APLUS - Management of appointment blocks, reports, and student interactions. Orientation Database (ORDB) - Use in scheduling, student characteristics, and reports. Mozilla Thunderbird for bulk emailing communication Microsoft Excel: Creation and maintenance of complex spreadsheets.
