EXECUTIVE OFFICE SPECIALIST

Position Summary:

As a key team member of the Office of Educator Preparation Programs (OEPP ), this position provides administrative and operational support to internal stakeholders and external partners associated with clinical field placements and experiential learning opportunities embedded in the interdisciplinary Educator Preparation Program. The position is responsible for complex and varied duties, requiring an ability to work both collaboratively and with a high degree of autonomy. As a key staff member in the OEPP , this individual will provide high-quality customer service to visitors and students while representing the mission and vision of CMU , the College of Education and Human Services, and the Educator Preparation Programs (EPP ). 

Required Qualifications:

High school diploma or GED . Four years of qualifying experience or a combination of education and experience that equates to four years. Experience with Microsoft Word. Customer service experience. Spreadsheet and/or database experience. Organizational skills with strong attention to detail. Demonstrated positive interpersonal skills. Effective verbal and written communication skills. Ability to project a positive attitude. Ability to manage multiple projects and meet deadlines with accurate results. Ability to compose, proofread and edit correspondence. Ability to perform the essential functions of the job. 

Duties & Responsibilities:

Provides direct support for the Director of Clinical Experiences. Provides high-quality service to students, faculty, staff, and external partners. Organizes and coordinates the student teaching application and placement process. Handles external partner communications including placement verifications, district requests for teacher candidates, and communicating current job postings. Processes all required documentation for providing State Continuing Education Clock Hours (SCECHs) to cooperating teachers of CMU EPP Clinical Experiences. Serves as liaison to University Coordinators regarding policies and procedures. Provides timely support to external partners related to required clinical documentation. Prepares and maintains materials for University Coordinator on-boarding and assists with ongoing training/professional development. Develops, prepares, and/or composes correspondence, memos, formal letters, newsletters, and promotional materials. Coordinates and organizes artifacts related to clinical coursework in platforms such as Blackboard, Taskstream, and GoReact. Supports the organization, communications, contracts, and planning for the semi-annual Teacher Candidate Conference. Compiles and remits clinical experience data as requested by the Michigan Department of Education. Organizes student program data and communicates with departments and staff to determine and then communicate eligibility status for student teaching. Supports mandatory meetings for teacher candidates and University Coordinators through the creation of materials, presenting, managing the attendance of the required meetings, and organizing follow-up communications. Processes affiliation agreements for clinical experiences. Acts as recording secretary for the Clinical Practices and Partnerships Advisory Board and/or Educator Preparation Committees as directed. Organizes and edits registration of appropriate sections for student teaching clinical experiences, as well as inputting the instructors of record for field supervision. Creates and submits fixed-term faculty appointments to FPS for University Coordinators. Maintains University Coordinator personnel files and organizes student feedback from clinical experiences for program improvement and performance reviews. Conducts special projects and assignment
