TITLE: Administrative Assistant to the Assistant Principals - High School

CLASSIFICATION: Operational Support Staff Level 3

PAY GRADE 8: $15.80 to $16.90 hourly(based on education and experience)

LENGTH: 8 hours daily / 193 days yearly

REPORTS TO: Assistant Principals

Benefits eligible: This position is eligible for employee level medical coverage, dental, and vision as well as personal and sick days.

QUALIFICATIONS:

  • High school diploma or general education degree (GED); and minimum of two years related experience and/or training; or equivalent combination of education and experience.
  • Must be able to use Microsoft Suite and G-Suite with proficiency as well as other software products for word processing, data entry and some advanced excel skills.
  • Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.
  • Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

RESPONSIBILITIES:

  • Prepare weekly, monthly and annual reports as assigned; enter and maintain database records.
  • Maintain staff and department records; file correspondence.
  • Prepare for start and end of school year. Process student enrollments and withdrawals.
  • Schedule appointments and maintain school calendar.
  • Perform general administrative/clerical tasks; order supplies, answer phone; direct callers and visitors; organize routine office procedures.
  • Maintain student transcripts (semester grades, test scores, dual credits, addresses, photos, etc.)
  • Safety Committee member (maintain a drill log and send copies to Facilities, place monthly 911 test calls and monthly silent alarm testing)
  • Tracking student attendance and discipline
  • ADM report (September and February)
  • Vocation ADM report (September and May)
  • Graduation report (October)
  • Work with Principals Administrative Assistant with enrollment and records requests
  • Attendance clerk back up
  • Assist the Assistant Principals
  • Weekly absence report for payroll
  • Other related duties as assigned.

SUPERVISORY RESPONSIBILITITES:This position has no supervisory responsibilities.

PHYSICAL REQUIREMENTS: While performing the duties of this job, the employee is frequently required to sit and reach with hands and arms. The employee is occasionally required to stand, walk, stoop, kneel, crouch or crawl. The employee must occasionally lift and/or move up to 40 pounds.
