Rutgers, The State University of New Jersey is seeking an Administrative Coordinator for Dining Services. The position reports to the Senior Food Buyer of Dining Services.Among the key duties of the position are the following:
  • Performs a wide range of administrative tasks in support of Dining Services Food Buyer Office:
    • Requisitions and orders are processed on a daily basis and in a timely matter.
    • Additions to orders are quickly handled to ensure product is sent to units within Dining Services.
    • Quotes are sent to vendors and entered into FoodPro for manager approval.
  • Provides support related to customer service; procurement; HR and payroll; billing and invoice processing; preparation of financial reports and transmittals; coordination of logistics for events and meetings; and the overall administration and operation of Dining Services Food Buyers Office.
  • Acts as a liaison to both internal and external constituents, replies to routine inquiries and resolves a diverse range of issues in a professional manner.
  • Processes various administrative documents and data.
  • Creates routine informational materials.
  • Provides department-wide assistant and technical support in the administration of multiple systems. Assists with the setup, configuration and maintenance of various equipment.
  • Provides training and backup coverage where necessary; and provides leadership and direction to lower- level staff.
  • Assists with department-wide events and programs.
  • Assists with and completes special projects as assigned.
  • Responsible for the procurement of all food and beverage items; and contracts for purchase of all food and beverage items use throughout the various units of Rutgers University Dining Services.
  • This position is responsible for management and maintenance of the Aurora FoodPro Inventory System, the software application required for all operational areas of Rutgers University Dining Service, use for forecasting and pre-costing, menu planning, food purchasing, production and inventory control, catering, nutritive analysis, point of sale interface, post cost reporting and financial analysis.

Qualifications

Minimum Education and Experience
  • Requires a bachelor's degree in a related field, or an equivalent combination of education and experience that demonstrates knowledge and understanding of office administration, organization, coordination and facilitation.
  • Also requires two years relevant experience in an administrative function, preferably in a college or university setting.
Certifications/Licenses
  • Have a driver's license.
Required Knowledge, Skills, and Abilities
  • Must be able to prioritize and perform multiple and varied tasks in a fast-paced service-focused environment.
  • Professional demeanor, courtesy, discretion, sound judgment, and reliability are essential in the performance of this position.
  • Requires effective oral, written and interpersonal communication skills including knowledge of proper business writing style and format.
  • Microsoft Office Suite (i.e., Word, Excel, PowerPoint, Outlook, etc.).
  • Must be able to efficiently navigate through web and PC-based applications.
Preferred Qualifications
  • Knowledge of Rutgers University, Student Affairs and Dining Services policies, procedures and collective bargaining agreements strongly preferred.
  • Knowledge with Aurora FoodPro Inventory System preferred.
