Posting Summary
Rutgers, The State University of New Jersey, is seeking a Senior Administrative Assistant for the Waksman Institute of Microbiology. Under the general guidance of the Director and Executive Director for Administration, the incumbent manages the human resources functions for approximately 200 employees including: faculty, staff, research faculty, postdoc's, students, hourly and international visitors.Among the key duties of this position are the following:
  • Implements and carries out university HR policies, processes, and procedures.
  • Leads Onboarding for all new hires.
  • Ensures adherence with all Federal, State and University employment regulations.
  • Serves as liaison for University systems: OneSource, HCM, ROCS and Sunapsis transactions.
  • Leads implementation of HR related content for website.
  • Oversees employee departures/conducting exit interviews.
  • Advises and creates job listings.
  • Advises faculty and visiting scholars.
  • Prepares and respond to requests for reports as needed.
  • Prepares/Submits: J and H status immigration- related visa processes for Exchange and temporary workers and their dependents.

Qualifications

Minimum Education and Experience
  • A bachelor's degree in a related field, or an equivalent combination of education and/or experience that demonstrates knowledge and understanding of office administration, Human Resources, work organization, or coordination.
  • A minimum of two years relevant experience in an administrative/HR function.
Certifications/Licenses
Required Knowledge, Skills, and Abilities
  • Excellent communication skills and computer literacy.
  • Must be able to work independently, develop solid relationships with all employees, and work as part of a team to deliver outstanding HR service.
  • Proficient in Microsoft Office and mac OS.
  • Strong attention to detail.
  • Must possess a high level of confidentiality, proficiency, and accuracy in all duties.
  • Ability to prioritize workflow and manage multiple conflicting priorities in a fast-paced, environment.
Preferred Qualifications
  • 5 years of progressively responsible relevant professional experience in Human Resources, or an equivalent combination of education and experience.
  • Strong knowledge of Federal and State employment regulations, and HR concepts and practices.
Equipment Utilized
  • HCM, ROCS, Sunapsis systems.
  • Must have strong computer skills and effective use of various software and hardware programs used in a multi-function HR office including but not limited to database systems, email, social networking, MS Word, Excel, and PowerPoint.
Physical Demands and Work Environment
  • Occasionally lifts and/or carries objects weighing up to 25 pounds.
