Posting Summary
Rutgers, The State University of New Jersey is seeking a Senior Project Coordinator for University Enrollment Services (UES).Among the key duties of the position are the following:
  • Supports the Assistant Director of Strategic Initiatives in managing special projects related to Financial Aid, Registrar, and Admissions.
  • Coordinates project activities, develops project plans, manages project-related communications, and collaborates with stakeholders to ensure the successful execution of key initiatives within UES.
  • Provides support for daily operations, coordinates technical support for automation efforts, and assists in maintaining data integrity across various systems.
  • Supports third-party systems and establishes progress reports while collaborating with trainers to document business processes and develop training materials for stakeholders in regional offices.
  • Provides project management support, coordinates communications, and ensures data integrity.
  • Contributes to the efficient and effective functioning of UES activities and supports the achievement of university-wide goals and objectives.
  • Reports to the Assistant Director of Strategic Initiatives and performs other duties as assigned.

Qualifications

Minimum Education and Experience
  • Bachelor's degree.
  • Two (2) years of experience in project coordination or related roles, preferably in a higher education or academic environment.
Certifications/Licenses
Required Knowledge, Skills, and Abilities
  • Experience working with project budgets.
  • Experience with automated admission, financial aid and registration computer systems.
  • Demonstrated experience in managing cross-functional processes and building consensus among diverse teams and individuals.
Preferred Qualifications
  • PMP Certification.
  • Five years of relevant experience.
  • Strong organizational skills with the ability to manage multiple tasks and priorities simultaneously. Excellent communication skills, both written and verbal, with the ability to interact effectively with diverse stakeholders.
  • Attention to detail and accuracy in data entry, documentation, and reporting.
  • Ability to work independently with minimal supervision as well as collaboratively within a team environment.
  • Knowledge of higher education policies, procedures, and academic culture is desirable but not essential.
  • Smartsheet Project and Portfolio Management (PPM) experience
Equipment Utilized
  • Microsoft Office suite (Word, Excel, PowerPoint, Outlook).
  • Project management software/tools.
