City of New York College Aide in New York, New York

Job Description

The New York County District Attorney's Office (DANY) has an immediate opening for a Part-Time College Aide in its Special Victim Division. In this position the person is responsible for providing secretarial and administrative support to the Division.

Responsibilities include but are not limited to:

  • Front Desk Coverage.

  • Serves as back-up to Bureau Secretary.

  • Performs receptionist duties, secretarial tasks, and clerical assignments.

  • Answers bureau telephones, takes, and delivers accurate messages promptly.

  • Greets witnesses and visitors and notifies appropriate staff of their arrival.

  • Works with division supervisors to ensure efficient management of division operations.

  • Performs related duties as assigned.

Preferred Requirements/Skills:

  • Experience in a law office or business preferred, but not required.

  • Excellent interpersonal, organizational, and communication skills.

  • Proficient in Microsoft Office. Ability to quickly master new computer systems and to update and edit existing applicant tracking database.

  • Excellent verbal and written communication skills.

  • Strong attention to detail and accuracy.

  • Strong organizational skills.

  • Ability to prioritize assignments.

  • Ability to absorb and retain information and apply it in new situations.

  • A proactive approach and the ability to work "hands-on" as required.

  • Ability to follow directions and apply proper policies, procedures, and guidelines consistently.

  • Ability to perform under pressure in a fast-paced environment; detail-oriented and self-motivated, and able to multi-task and adapt to changes in workflow.

  • Dependable team player who works collaboratively and cooperatively with staff in a team-oriented environment.

  • Ability to interact professionally and effectively across all levels of management.

Additional Information:

  • Current office employees: To be eligible for a transfer or promotion, staff must have already served at least 1 year in their current position and be in good standing. In addition, must meet the minimum qualifications of the position.

  • Looking for candidates that could commit to one (1) year to the hiring unit.

  • Authorization to work in the United States is required for this position.

Qualifications

For Assignment Level I:

Matriculation at an accredited college or graduate school. Employment is conditioned upon continuance as a student in a college or graduate school.

For Assignment Level II (Information Technology):

Matriculation at an accredited college or graduate school. Employment is conditioned upon continuance as a student in a college or graduate school with a specific course of study in information technology, computer science, management information systems, data processing, or closely related field, including or supplemented by 9 semester credits in an acceptable course of study.

For Assignment Level III (Information Technology Fellow):

Matriculation at an accredited college or graduate school. Employment is conditioned upon continuance as a student in a college or graduate school with a specific course of study in information technology, computer science, management information systems, data processing, or other area relevant to the information technology project(s) assigned, including or supplemented by 9 semester credits in an acceptable course of study. Appointments to this Assignment Level will be made by the Technology Steering Committee through the Department of Information Technology and Telecommunications.

SPECIAL NOTE

Maximum tenure for all Assignment Levels in the title of College Aide is 6 years. No student shall be employed more than half-time in any week in which classes in which the student is enrolled are in session. Students may be employed full-time during their vacation periods.
