Robert Half Executive Assistant in New York, New York

Description We are offering a contract employment opportunity for an Executive Assistant in the heart of New York. The Executive Assistant will be a part of our team in the telecom industry, providing support to senior executives by managing their schedules, coordinating with vendors, and handling other administrative tasks. The individual will also work closely with our HR recruiters, utilizing their strong skills in Concur, CRM, Microsoft Excel, Office Suites, and Outlook.

Responsibilities:

• Coordinate with vendors for both business and personal matters

• Manage executives' schedules to ensure efficient time utilization

• Handle email management to sort and prioritize important correspondence

• Coordinate deliveries to ensure timely receipt of packages

• Conduct research on various topics as directed by executives

• Utilize Concur, CRM, Microsoft Excel, Office Suites, and Outlook to streamline work processes

• Assist HR recruiters in their daily tasks

• Handle documentation for C-Suite executives

• Manage calendar appointments and ensure no scheduling conflicts arise

• Handle other administrative tasks as assigned by the executives. Requirements • Proven experience as an executive assistant or similar administrative role

• Strong knowledge and experience with office management systems and procedures

• Proficiency in MS Office Suite, specifically Excel and Outlook

• Familiarity with CRM systems

• Ability to use 'Concur' software for travel and expense management

• Experience with 'About Time' software for time and resource management

• Excellent ability in managing executive calendars and scheduling appointments

• Ability to draft and manage correspondence

• Experience in providing support to C-Suite level executives

• Strong skills in documentation, record keeping, and reporting

• Excellent verbal and written communication skills

• Ability to handle sensitive and confidential information with discretion

• Strong organizational and multitasking abilities

• Proactive problem-solving skills and a keen attention to detail

• Ability to work independently and as part of a team

• Strong interpersonal skills and a professional demeanor

• Ability to prioritize tasks and meet deadlines.
