The salary range for this role, based in New York is $78,480.00 to $98,100.00, range will vary if outside of this location. Base salaries are determined during our interview process, by assessing a candidate'sexperience, skills against internal peers and against the scope and responsibilities of the position.

Position Summary

The primary purpose of this position is to provide daily administrative support to the Senior Vice-President, Operations NA. Responsibilities will range from general administrative support to organizational event planning. This individual serves as the primary contact for the North

American Operations organization and often provides support to other Executive Assistants and staff, as needed.

Key Accountabilities

- Responsible for all administrative duties supporting the Senior Vice-President, Operations NA, including:

  • Calendar Management: Planning of calendar, taking minutes/tracking actions, coordinate travel, arrange meetings, order catering (as needed), schedule/initiate conference calls.
  • Expense Reporting: Manage and submit all expenses in timely manner.
  • Office Supplies: order supplies and ensure department remains within budget.
  • Provide support to North American Operations VP's, Directors, as needed.

- Represent the Senior Vice-President, Operations NA in communications (i.e.: phone/fax/mail/email, company notes, holiday cards, etc.).

  • Prepare drafts of correspondence for approval and execute transmission, as appropriate.
  • Develop standards for regular communications to the North American Operations team.

- Coordinate and plan Meetings (Internal & External) and events, as required.

  • Prepare agendas and itineraries.
  • Manage external vendors, when appropriate.
  • Manage all logistics.
  • Travel to meetings/events, as required.

- Act as Budget Coordinator for Departmental Overhead Budget.

  • Track spending and provide Senior Vice-President, Operations NA with quarterly updates on cost centers including departmental travel and entertainment expenses.
  • Manage Invoices related to any activities of Senior Vice-President, Operations NA and related meetings/events.

- Handle special projects, as necessary.

Nature & Scope

Position typically works with all levels of management - within PR USA and key external partners - and provides information as directed by Senior Vice-President, Operations NA. Communication often includes sensitive information requiring complete confidentiality and discretion. Incumbent is responsible for daily management of Senior Vice-President, Operations NA calendar which includes consistent communication, coordination, and scheduling adjustments. Individual must also display teamwork capabilities as working with other Executive Assistants is key. Being a team player, who is resourceful and has a positive attitude while being pro-active, displaying clarity of purpose and speed of action will make this individual successful.

Requirements

- Education:

  • High School Degree required, Bachelor's degree, preferred
  • Advanced training and proficiency in MS-Office Suite is required
  • Knowledge of/proficiency in Concur, or similar T&E system is required

- Experience / Background:

  • 5-7 years of previous experience supporting senior level management.
  • Excellent verbal and written communication skills required
  • Prior experience coordinating and planning large meetings and events is highly preferred
  • Qualified candidates must be detail oriented, able to multi-task, and exhibit strong interpersonal skills
  • Proven success anticipating change, problem-solving, and acting with a sense of urgency are key competencies for success in this position
  • Candidates must be comfortable interacting with different personalities and across all levels of management, while always maintaining confidentiality and discretion
  • Digitally savvy and good knowledge/usage of social media will be a plus
  • Not afraid to ask for clarification, take risks and make mistakes

Working Conditions

Work is performed in a typical office environment, with limited demands for movement and lifting. Normal visual acuity required for correspondence and computer terminal usage. Ability to work overtime as required.

Travel

  • Position will require travel to support meetings and events.
  • Estimate: 10-15% of time.
