Wolters Kluwer Executive Assistant in New York, New York

Location - will require regular travel to an office location when needed. Must be able to commute to New York, Chicago, or Waltham, MA offices.

Summary

The Executive Assistant provides high-level administrative support to senior executives in our Global Law and Compliance Department (GLCD) as well as administrative support for privacy operations. The Executive Assistant will also support department initiatives, projects, and events. The Executive Assistant is a key member of the GLCD team and collaborates with colleagues across divisions, regions, and functions.

Responsibilities

  • Manage meeting invites, calendar requests, purchasing, and expenses for designated senior executives in the GLCD.

  • Assist the privacy operations team with managing the corporate privacy mailbox, scheduling meetings, and planning logistics for in-person privacy meetings and events.

  • Arrange and book travel, accommodation, and transportation for the executives, and prepare travel itineraries.

  • Work with the legal operations team on organizing meetings and conferences.

  • Assist with project management and reporting regarding certain significant department initiatives.

  • Prepare and edit reports, presentations, memos, letters, and other documents, using Microsoft Office and other software tools.

  • Create efficiencies, leverage ideas, and foster community spirit by supporting the GLCD’s Knowledge Management intranet and projects.

  • Communicate and liaise with internal and external stakeholders, such as clients, partners, vendors, and other Wolters Kluwer departments, in a courteous and professional manner.

  • Perform other administrative and clerical tasks as assigned, such as filing, copying, scanning, and ordering supplies.

  • As needed, support the immigration management team with administrative tasks.

Qualifications

  • At least 5 years of experience as an executive assistant or similar role, in a law firm or global organization.

  • Excellent communication, interpersonal, and organizational skills.

  • Proficient in Microsoft Office Suite, SharePoint, and other relevant software and tools.

  • Ability to work independently and collaboratively, prioritize tasks, and handle multiple projects simultaneously.

  • Attention to detail, accuracy, and quality.

  • Flexibility, adaptability, and initiative.

Compensation:

Target salary range CA, CT, CO, HI, NY, WA: $61,650-$85,200
