The tasks at hand:

Leave Management

  • Independently interpret and administer leave programs in accordance with applicable federal, state and Company policies, including, but not limited to, family and medical leave, paid family leave, paid parental leave, and short- and long-term disability. Tasks include:

    • Communicate with employees regarding their need for leave and/or modified work schedules
  • Ensure employees are aware of their responsibilities and any documentation required to qualify for and take leave

  • Handle the FMLA leave administration process from the employees’ initial notice of the need for leave to their return-to-work, including gathering and completing all required paperwork, determining leave eligibility, designating leave as FMLA-qualifying, requesting medical certification as needed, etc.

  • Maintain compliance with leave of absence and employment laws, and advise employee on the interaction of leave laws with paid time off and/or other Company policies

  • Collaborate with the disability carriers and internal payroll team to ensure employees are paid accurately while on leave of absence

  • Maintain reasonable communication with employees on leave to facilitate smooth return to work, and relay communication between employees and their managers during leave

  • Keep complete and accurate records of leave requests and supporting documentation

  • Facilitate other leave requests, which may include non-medical leave of absence, extended time off or accommodation requests under the ADA

  • Analyze problem situations and recommend appropriate action in collaboration with supervisor

  • Draft and/or recommend revisions to Company leave policies or practices to ensure compliance with federal, state and local regulations

US Visa and Immigration + + Manage all US immigration needs and execute end-to-end process alongside the Company’s external immigration attorney, including visa applications, work permits, green card applications, and international transfers (to the US)

  • Liaise between employee or candidate, supervisors, internal and external legal counsel, ensuring immigration petitions, forms and supporting documentation are prepared and submitted accurately and timely

  • Demonstrate care for employees and address questions they have

Other + + Cultivate and nurture strong relationships with key stakeholders, other internal teams, and most importantly with employees and within PET to become a trusted advisor; handle all scenarios with empathy and kindness

  • Provide a speedy and efficient response to day to day / first line HR Ops questions from employees

  • Assist with any ad-hoc tasks/projects which may arise for the EVP PET and/or the Ops team

  • Handle admin tasks that support the PET Ops team

The ideal candidate has:

  • 2-3 years of experience in an HR, Operations, or similar role

  • Knowledge of relevant state and federal laws, regulations, policies and procedures

  • Experience administering leaves within a multi-state organization, and tracking leave usage in accordance with federal and state regulations

  • Ability to handle sensitive and confidential information, including medical documentation, with discretion and maintain a high level of professionalism

  • Excellent verbal and written communication skills with the ability to effectively explain complex information to employees and stakeholders

  • Strong analytical and problem solving skills, with the ability to independently research and analyze related issues

  • Collaborative team player, able to work independently in a fast-paced environment, and strong interpersonal skills with the ability to provide empathetic support to employees during challenging times

  • Exceptional attention to detail to ensure accuracy and completeness of documentation

  • Eager & excited to learn new skills within an HR team

  • Ability to be proactive, solution oriented and take your own initiative

  • Basic knowledge of Human Resources functions, duties, and willingness to learn more

  • Experience with G-suite is a huge plus

  • Demonstrates strong grasp of time and operations management and understands value of prioritization and comfortable with communicating changes in anticipated deliverable dates

  • Ability to think outside the box and constantly find ways to improve ongoing processes

  • Exact compensation may vary based on skills, experience, and location.

  • Base Salary $70,000-$80,000
