About the Role:

We are looking for an experienced professional with corporate Real Estate Lease Administration experience, responsible for managing lease administration responsibilities such as; maintaining lease documentation and database / portfolio reporting, ensuring rent pay and additional office related expenditures, establish and manage the annual OpEx forecast and budget with ongoing spend analysis, Supplier/Landlord onboarding process, as well as supplier payment. You will oversee the Lease administration process while partnering with Regional GRE & WE Leaders, Finance FP&A, Legal, Tax, Accounting, and external Real Estate advisory and transaction partners. You will report to the Director, Americas & EMEA GRE & WE , who is based in New York. You will be based in our NY office with some expected travel to our Princeton, New Jersey office.

You Will:

  • Support the management of vendor relationships to complete the onboarding process onto Dow Jones Risk Center

  • Review lease payments and process on a monthly or quarterly basis, as well as invoices for operational costs relating to our locations around the globe

  • Help process invoices and reimbursement ensuring that expenses have received appropriate approval; coordinates with Finance, AP and others.

  • Manage and follow up on rental delinquencies via telephone and correspondence, as directed

  • Input lease information and upload documents into lease administration software

  • Build and manage departmental budgets for rent and operating expenses

  • Set-up and manage Purchase Orders

  • Work together with Regional Real Estate Leaders on upcoming projects and issues

  • Prepare and compile a variety of weekly, monthly and quarterly reports for internal stakeholders

  • Prepare affiliate agreements for subleases in coordination with Regional Real Estate Leaders and discuss with business leaders and stakeholders in relevant locations

  • Triage in-coming requests and questions as it relates to lease status, provider invoice/payment issues and propose solutions

  • Work closely with Real Estate Advisory partners to ensure databases and records are valid and updated

You Have:

  • 5+ Years of Lease Management experience

  • Strong written and verbal communication skills

  • Possess a strong affinity for numbers and excel in tasks that require quantitative analysis and attention to numerical detail

  • Ability to multitask and support simultaneous initiatives, at times under tight time constraints.

  • Proficient technology and analytical skills

  • Proficiency in lease administration software

  • Experience managing real estate contracts and working with vendors

  • Demonstrated customer service focus and experience

  • Bachelor's degree or equivalent career experience within the corporate real estate/facilities/workplace (preferred)

  • Minimum of 2 to 5 years of relevant experience within a facilities / real estate corporate environment (preferred)

  • Experience working within a global enterprise with mindfulness of workplace cultural differences and sensitivities (preferred)

  • Possess working knowledge of business support tools, such as spreadsheets and presentation applications (preferred)
