Anywhere Real Estate Office Services Coordinator in New York, New York

We are seeking an Office Services Coordinator to join our team at the East Side sales office located in NYC. The Office Services Coordinator will play a key role in ensuring the smooth operation of our office environment by providing administrative support and performing various office-related tasks. This role will be performed in an office setting from Monday to Friday; 9:30 pm to 5:30 pm.

Job responsibilities include, but are not limited to:

  • Accept, sort and distribute all incoming mails, including inter-office mails, newspapers, and/or packages in accordance to departmental procedures

  • Prepare and ship urgent shipments via UPS, USPS and/or messenger as requested

  • Prepare and process all outgoing first class, certified and/or registered mail

  • Maintain and coordinate an orderly office services facility

  • Operate various office equipment

  • Provide light facilities duties

  • Ensure that printer stations, copiers, fax machines, and other office equipment are well kept

  • Maintain the cleanliness of the conference rooms and common areas

  • Assist with set-up and cleanup of each sales meeting

  • Order, maintain, and restock inventory of office supplies throughout the office; restock the podiums and cafeteria multiple times throughout the day

  • Regularly complete copy projects in a timely manner

  • Clean and prepare desks for departing or arriving agents

  • Assist agents with general inquiries and inquiries on our proprietary systems

Job Requirements:

  • Ability to handle high volume copy requests.

  • 2+ years of Mailroom or Office Services experience is required in a customer service focused environment.

  • Experience with postal and copy equipment.

  • Basic computer knowledge.

  • Ability to excel in a fast-paced, demanding environment.

  • Availability for afterhours support as needed.

  • Must be physically able to bend, stoop, climb, walk, and lift & carry heavy objects (up to 50 lbs).

  • Ability to stay focused, efficient, and effective in managing multiple priorities.

  • Strong interpersonal skills and good judgment.

  • Ability to work independently with little direction to achieve accomplishments.

  • Strong communication skills and ability to connect with all levels of staff and Agents.

  • Ability to excel in a fast paced and timeline oriented environment.

  • Strong customer service and interpersonal skills.

  • Ability to prioritize and be flexible with changing business needs in a collaborative environment.
