Job Summary

The role of the IT Asset Manager is to oversee the daily and long-term strategic management of software and technology-related hardware within the organization. This includes planning, monitoring, and reporting software licenses and/or hardware assets to ensure compliance with vendor contracts. The individual will implement asset management strategies to optimize technology spend across the organization. The IT Asset Manager will also develop and implement procedures for tracking company assets to oversee quality control throughout their lifecycles.

Job Responsibilities

Strategy & Planning

Establish (or refresh) policies and procedures for managing both hardware and software asset lifecycles, inclusive of business practices that join financial, contractual, and IT asset inventory

Explore opportunities for maximizing or exploiting unused or partially used IT assets to achieve full efficiency and ROI from company resources

Evaluate asset management processes on a recurring basis to ensure best practices are being leveraged, including participating in benchmarking efforts

Identify opportunities for optimization of assets based on numerous factors including utilization

Implement best practices in line with ITIL (Information Technology Infrastructure Library) and NIST (National Institute of Standards):

o Research best practice frameworks

o Collaborate with IT stakeholders to identify which practices should be implemented

o Prioritize and develop short-term and long-term plans for implementing

o Create KPIs (Key Performance Indicators) for the plans and monitor/track performance

o Develop process improvement/mitigation plans to resolve issues, track progress of plans

Acquisition & Deployment

Minimize IT asset procurement through unapproved channels

Conduct and report software asset reconciliation and audit activities on a timely basis, including financial, licensing, warranty, and maintenance/support contract information

Explore opportunities for maximizing or exploiting unused or partially used IT assets to achieve full efficiency and ROI from company resources

Operational Management

Accountable for facilitating a validation process of the IT Asset repositories, annually at a minimum for both IT and OT technology assets

Coordinate with stakeholders across Enterprise to ensure accuracy of IT Asset repositories

Minimize IT Asset repositories outside of the CMDB for hardware assets

Centralize and manage an asset repository for software assets

Provide board of directors and senior leadership with a summary of the technology asset landscape through the IT Asset Board Book, on a quarterly basis

Coordinate with the ServiceNow platform team on CMDB completeness, including asset ownership and other key data characteristics needed for Asset Management

Effectively communicate asset management strategies to team members and stakeholders in a timely and clear fashion

Generate, distribute, and review relevant management reports

Investigate and resolve exceptions and accuracy issues of the IT Asset repositories, in collaboration with key stakeholders

Job Specific Qualifications

Required

  • Bachelor's degree with at least 10 years of relevant work experience

  • Proven "hands-on" experience in IT asset management and related processes

  • Strong knowledge of ITAM frameworks and best practices, such as ITIL

  • Familiarity with asset management tools, such as ServiceNow, SCCM, or similar platforms

  • Understanding of software licensing models and compliance requirements

  • Excellent organizational and analytical skills for managing and tracking assets

  • Work and communicate with a wide range of people – peers, vendors, staff members, broader functional and business leadership, and others

  • Ability to proactively communicate technical topics in a clear, succinct, and relevant way

  • Demonstrated ability to perform assigned work proficiently

  • Demonstrated ability to effectively interact with external stakeholders

Desired

  • Certified Software Management Professional and/or Certified Hardware Asset Management Professional through IBSMA, SIIA, IAITAM, or BSA

  • Understanding of software licensing models and compliance requirements. Solid working knowledge of software licensing agreements for the following vendors: Microsoft, Salesforce, MuleSoft, ServiceNow, Oracle, SAP, and NICE

  • 10 + years of direct work experience in a contract management or purchasing and procurement capacity, including all aspects of strategy development and execution
