Executive Assistant Job Description

An Executive Assistant, also known as an Executive Administrator, plays a crucial role in managing the schedules and communications of key company executives. They go beyond administrative tasks and often act as a liaison between the executive they support and other stakeholders. Here are the key responsibilities and qualifications for this role:

Administrative Assistance:

Drafting and editing emails, memos, and other communications on behalf of the executive.

Maintaining accurate records and performing minor accounting duties.

Organizing meetings, including scheduling, sending reminders, and arranging catering when necessary.

Calendar Management:

Taking charge of the executive's calendar, making appointments, and prioritizing sensitive matters.

Coordinating meetings and ensuring efficient scheduling.

Communication:

Answering phone calls professionally and directing visitors to the appropriate department.

Welcoming visitors and understanding the purpose of their visit.

Proactivity and Initiative:

Being proactive and taking charge of tasks without waiting for instructions.

Arriving before the executive and staying until they leave.

Attention to Detail:

Handling personal information with care (e.g., maintaining a jump drive with PDF copies of every email).

Following up on procurement card (pcard) purchases and tracking expenses.

Adaptability:

Working with a manager who may be indifferent.

Dealing with paper-driven processes (e.g., 22 binders).

Technical Skills:

Familiarity with different formatting requirements for PowerPoint presentations.

Managing travel arrangements, including flights and changes.

Collaboration:

Working on projects with other team members (e.g., Jarenae).

Coordinating with Staples for portfolio-related needs.

Preferred Working Hours:

Regular office hours (8 am to 5 pm).

Early mornings preferred (Chad and Jay start at 6 am).
