A Brief Overview

Supervises the staff and the daily accessioning and administrative operations for Surgical Pathology and associated services, including accessioning of wet tissue and outside material, record storage and disposal, transcription and dictation, performance improvement, legal and research activities, hiring and termination documents. Writes and implements procedures and policies relative to daily accessioning and administrative operations, ensuring compliance with all applicable health and safety policies (JCAHO, CAP, state, federal, and SHC). Assigns work schedules for lab assistsants, administrative assistants and office assistants. Design and implement special projects. Collaborate with other supervisors and staff in identifying, planning and implementing performance improvement projects. Works closely with the Gross Room and Autopsy, Histology Services and Cytology Supervisors to ensure compliance with policies and collaborate with other supervisors and staff in identifying, planning, and implementing performance improvement projects.

What you will do

  • Responsible for the daily accessioning and administrative operations, including but not limited to: direction and supervision, assignments, schedules, interviewing, hiring, training, performance evaluations, timesheets and disciplinary action for assigned staff.

  • Assists in the de-accessioning of cases when appropriate.

  • Collaborates with Laboratory Manager and other supervisors in establishing team environment.

  • Coordinates section functions with other areas to ensure timeliness and quality of service.

  • Designs and maintains section workload statistics, logs, files, records and statistical information. Provide data for department quality programs.

  • Oversee and coordinate Pathology legal requests.

  • Provide support to Anatomic Pathology subspecialties.

  • Train Stanford University administrative staff on department’s slide and block management system.

  • Address patient care requests and any issues that arise.

  • Provide oversight and direction of the department’s consult material process and physician contracts.

  • Oversee and coordinate Anatomic Pathology material storage (blocks, slides, reports, x-rays, CDs and kodachromes).

  • Acts as liaison to outside departments, laboratories and Stanford University.

  • Ensures section compliance with all applicable regulations and guidelines (CAP, JCAHO, state, federal and SHC).

  • Responsible for material storage inventory and shipment to storage of patient material and records.

  • Forecasts all maintenance, personnel and capital budget requirements including maintenance contracts and inventory of all accessioning and administrative section supplies.

  • Maintains appropriate health and safety standards as directed by federal/state and accrediting agency guidelines.

  • Maintains phone trees, beeper lists, phone lists, checking schedule, resident, medical student and visitor rotation schedules.

  • Performs other duties as assigned/requested.

Education Qualifications

  • High school diploma or GED equivalent

Experience Qualifications

  • Three (3) years of progressively responsible and directly related work experience

  • Medical Terminology required

Required Knowledge, Skills and Abilities

  • Ability to communicate effectively, both orally and in writing

  • Ability to develop financial budgets and manage expenses

  • Ability to plan, organize, develop tactical plans and set priorities

  • Ability to supervise, coach, mentor, train, and evaluate work results

  • Ability to work effectively both as a team player and leader

  • Knowledge of computer systems and software used in functional area

  • Knowledge of infection prevention policies and procedures

  • Troubleshooting, conflict resolution and leadership skills required

Base Pay Scale: Generally starting at $39.28 - $51.07 per hour

The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to, internal equity, experience, education, specialty and training. This pay scale is not a promise of a particular wage.
