We are seeking to hire an Administrative Assistant, Manufacturing Operations (Temporary) to support our Philadelphia, Pennsylvania Manufacturing and Packaging facilities.

Job Summary

The Administrative Assistant, Manufacturing Operations (Temporary) is a key support function to Adare’s Philadelphia, Manufacturing and Packaging facilities. The position is responsible for special project management, travel and calendar management, compiling robust production reports, presentation content and formatting, greeting and escorting visitors, and assisting with the facilitation of onsite events. The position will require building positive working relationships that span all levels and functions of the organization. This is an onsite position working standard business hours Monday through Friday.

Responsibilities and Learning Opportunities

  • Calendar management for Production executives

  • Compile detailed production reports to reflect key metrics, as well as dashboards and presentations

  • Greet and escort visitors and clients; positively represent Adare to external partners

  • Serve as liaison with staff and VP of Global Quality regarding company climate, employee well-being, project updates, proposals, and planning

  • Assist with new hires in Production or Packaging when needed, including documentation and onboarding, and collaborate to address and resolve employee concerns

  • Handle inquiries, develop action plans, and assist with preparation and dissemination of communication

  • Assist Production Executives in determining and prioritizing business strategies

  • Help to determine key performance indicators and how to measure team performance

  • Aid project teams by timely organizing activities linked to the projects with other internal functions, such as Quality, Finance, and Regulatory

  • Seeks timely progress for actions and resolution to issues. Follows-up on critical action items and alerts all stakeholders of potential roadblocks or delays.

  • Prepares project status reports and other project and KPI updates or reviews needed by the organization and presents to upper management.

  • Supports different process initiatives and harmonization to improve Production productivity and performance.

  • Coordinate on-site and off-site meeting logistics to include reservations, food, etc.

  • Coordinate and schedule travel arrangements including transportation and accommodations

  • Prepares and distributes internal correspondence on behalf of Production executives

  • Assists in preparing Word Documents, PowerPoint presentations and maintaining Excel spreadsheets.

  • Routinely handle confidential information with utmost integrity

  • Coordinates material shipments

  • Performs special projects as assigned.

Requirements

  • Bachelor’s Degree preferred; High school diploma or equivalent required

  • Working experience in a GMP environment

  • Keen interest in Manufacturing and/or Engineering a plus

  • Demonstrated Project Management and Administrative Support skills

  • Proficient in Microsoft Office applications (Word, Excel, Outlook) and business-related application packages highly desired, plus the ability to learn company used applications

  • Excellent oral and written communications skills

  • Ability to be flexible and to both set and shift priorities in fast paced environment

  • Must have a collaborative, friendly, accommodating personality to service our internal and external customers

  • Strong organizational and planning skills and ability to work independently.

  • Attention to detail and follow up is a must

  • Must possess the ability to take ownership for assignments to ensure completion in a timely manner
