WESCO Administrative Assistant - Office of the CEO in Pittsburgh, Pennsylvania

We are seeking an Administrative Assistant as part of our Administration & Support Services team! As an Administrative Assistant, you will report to the CEO Executive Assistant. You will provide a broad range of administrative support to the Office of the CEO by conducting research, preparing and distributing reports on a regular basis, managing information requests, and interacting with senior level leadership including Board members and internal and external clients. You will schedule and coordinate meetings, travel, and other events.

Responsibilities:

  • Collects, reviews and analyzes data and prepares reports, charts, graphs and other presentation materials for the executive office.

  • Assists in the compilation and dissemination of earnings call and board meeting materials.

  • Point of contact for administrative support between the CEO Executive Assistant and internal/external clients.

  • Coordinates and arranges meetings; reserves and prepares facilities.

  • Assists in the preparation and management of event-related budgets.

  • Manages approval and payment of service provider invoices and tracks invoices for budgeting purposes.

  • Arranges travel and assists with expense reimbursement for various executive members and the Wesco Board of Directors.

  • Handles highly confidential work matters with discretion and guards sensitive information.

  • Assists in the performance of general administrative procedures, including data entry, equipment identification, equipment service, and preventive maintenance.

  • Assists in the production of Teams events (i.e., the annual leadership meeting) and provides back-up support to C-Suite assistants for various monthly meetings.

  • Contributes to proper resource utilization, cost containment, procedural compliance, and customer service levels.

  • Monitors and responds to incoming e-mail and phone calls and distributes incoming mail.

  • Other special projects as directed by the CEO Executive Assistant.

Qualifications:

  • High School Degree or equivalent required; Associates’ Degree (U.S.)/College Diploma (Canada) preferred

  • 3 years administrative support preferably in similar industry required

  • Requires a broad understanding of organization operations, organizational procedures, and personnel

  • Exceptional organizational skills and able to manage competing deadlines

  • Ability to maintain a high level of confidentiality

  • Meticulous attention to detail

  • Strong Microsoft Office skills including Word, Excel, PowerPoint, and Outlook

  • Excellent written and oral communication skills

  • Self-starter with the ability to work independently

  • Exceptional service to internal and external customers

  • Ability to travel up to 25%
