Naval Sea Systems Command ASSISTANT in Port Hueneme, California

Summary You will serve as an Assistant in the MODERNIZATION & INSTALLATION DEPT N00 of NAVAL SURFACE WARFARE CENTER, Port Hueneme, California. Responsibilities You will serve as the primary point of contact for an organization, providing clerical assistance to military and civilian personnel to support all operating methods and needs related to information, problems and contacts encountered. You will review and process incoming and outgoing correspondence, with judgment of the variety, nature and sensitivity of the material. You will resolve substantive and procedural problems based on a variety of alternatives and priorities, resolving most conflicts and informing leadership of potentially controversial issues. You will ensure any classified material is accurately marked and handled. You will use a variety of office automation software and develop methods for automating administrative reports considering the interrelationship of reports and multiple uses of data. You will maintain subject matter files and records that relate to the work of the unit, setting up and maintaining logs showing status of actions and correspondence. You will exercise control over the supervisor’s daily calendar, establishing priorities, scheduling meetings and appointments, managing invitations, and arranging representation based on the supervisor’s preferences, priorities, and workload. You will make travel arrangements for supervisor and staff, including schedule of visits and reservations, contacting travelers en route to relay information, and prepare various travel vouchers and reports. Requirements Conditions of Employment Qualifications For the NG-04: Your resume must demonstrate at least one year of specialized experience at or equivalent to the NG-03 pay band (GS-07/08 equivalency) or grade level in the Federal service or equivalent experience in the private or public sector, managing or coordinating clerical and administrative support functions for a program, office, or organization. Examples of qualifying experience may include, and are not limited to: 1) Developing or evaluating administrative policies and procedures; 2) Organizing and ensuring the flow of clerical processes; 3) Ensuring correspondence, requisitions, personnel action requests, and travel documents adhere to policy; 4) Coordinating travel arrangements; 5) De-conflicting or optimizing appointment schedules to maximize time efficiency; 6) Coordinating meetings or conferences; 7) Developing spreadsheets, charts, or graphs to support executive level requirements. For the NG-03: Your resume must demonstrate at least one year of specialized experience at or equivalent to the NG-02 pay band (GS-05/06 equivalency) or grade level in the Federal service or equivalent experience in the private or public sector, providing clerical and administrative support in an organization office setting. Examples of qualifying experience include: preparing, proofreading and editing correspondence; providing telephone and receptionist services; categorizing incoming correspondence, publications, regulations, or directives; making travel arrangements; preparing time and attendance records; operating office automation equipment in an organization office setting. OR A combination of experience and graduate education as described above that equates to one year of experience. The following education may be substituted for specialized experience at the NG-03: One full year of graduate level education that is directly related to the position being filled. This position is part of the Warfare Centers Personnel Demonstration Project. The NG-03 pay band encompasses positions equivalent to GS-07 and GS-08. The NG-04 pay band encompasses positions equivalent to GS-09 and GS-10. The salary range shown in the announcement represents all of the positions within the band.
