Summary: A Dispatcher is responsible for managing customer expectations and coordinating technician schedules. They receive and handle service calls, schedule and dispatch technicians and vehicles, maintain records and schedules, monitor resources, and communicate assignments via phone or text. Additionally, they compile statistics and generate reports to track work progress.

This position reports to the Milwaukie Office Manager and is FLSA Non-Exempt.

    Key Responsibilities:

  • Ensure, follow, and promote Company safety and quality protocols

  • Customer Service: Handle customer inquiries, requests, and complaints.

  • Data Entry: Input service calls and generate work orders.

  • Dispatch: Schedule or dispatch workers, work crews, equipment, or vehicles as per customer requests and specifications.

  • Monitor personnel or equipment locations and utilization to coordinate service and schedules.

  • Timesheet Processing: Collect and correct data for workers’ timesheets.

  • Other Duties: Undertake projects and perform tasks as assigned.

    Relationships:

  • Maintain proactive and positive relationships within the crafts, including shop and field craft personnel; and supervision coworkers

  • Maintain proactive and positive relationships with customer representatives, vendors, suppliers, subcontractors, safety, CAD/BIM, accounting, and IT, and all Project Teams

    Experience / Qualifications:

  • Computerized dispatching experience: +2 years

  • Dispatch experience: 1-2 years (handling multiple employees to multiple locations daily)

  • Customer Service experience: 2+ years.

  • Multi-line phone experience: 2+ years

  • Industry Experience (i.e.: Electrical, HVAC, Refrigeration, Commercial, etc.): 1-2 years

  • Education: A High School Diploma is required; some colleges preferred

    Necessary Skills:

  • Thorough knowledge of the commercial construction industry is preferred.

  • Excellent problem-solving skills.

  • Excellent verbal and written communication skills.

  • Ability to multitask regularly.

  • High-volume phones.

  • Proficient in Microsoft Office Suite, including Outlook. Vista software is preferred.

  • Must be able to effectively work as part of a team and provide clear direction to teams.

  • Database Management – Dispatch Software: Use computer applications to manage large amounts of information, including inputting data, retrieving specific records, and creating reports.

  • Time Management – for self and others.

  • Motivating and directing people, identifying the best person for the job.

  • Organizing, scheduling, planning, and prioritizing work.

  • Communication with Supervisors, Peers, Vendors, and Customers.

    Physical Requirements:

  • Constant use of a computer, eye-hand coordination

  • Sitting for long periods, with a standing workstation as an option

  • Ability to lift files, open filing cabinets, and bend or stand on a stool as necessary

  • Compensation: $25-$35 per hour (DOE), FLSA non-exempt (OT eligible).
