Description of Job
The Executive Assistant to the Vice President for Operations/CFO performs varied, complex, and highly responsive functions in support of the daily operations and management of the Vice President for Operations/CFO. This position functions independently with initiative and judgment in matters delegated by or in the absence of the Vice President/CFO.
Primary Duties
Assists with day-to-day operations of the office and maintains confidential information. Performs general recordkeeping, updates departmental web pages, orders supplies, monitors the operation of office equipment, and initiates work orders. Assists with internal and external communication to departments and outside stakeholders. Creates letters, presentations, and other communications as needed. Manages detailed calendar for the Vice President/CFO and assists with managing the President’s Calendar. Makes travel and accommodation arrangements for meetings and conferences. Notifies Vice President/CFO and President of schedule changes, provides necessary information for meetings, and anticipates/manages schedule conflicts.
Assists with meeting agenda and planning for Vice President/CFO. Compiles/prepares materials, arranges meeting space, and coordinates catering for Vice President /CFO meetings and events. Provides administrative support for Vice President /CFO activities and ensures followup on issues and directives.
Assists with coordination of campus-wide annual and special events sponsored by the Office of the President (OOTP) such as convocation, employee recognition luncheon, employee holiday party, and holiday entertaining.
Assists the Executive Assistant to the President in resolving day-to-day issues for the OOTP/Vice President/CFO and assesses which issues require elevation within the OOTP or referral to other offices for resolution. Maintains a broad knowledge of campus policies and procedures and interprets and applies them with clarity and accuracy.
Ancillary Duties
Coordinates search and screen committees at the direction of the Vice President/CFO.

Minimum Qualifications
Bachelor’s degree from an accredited institution
Excellent interpersonal skills, strong verbal and written communication skills, and customer-service oriented
Advanced knowledge of Microsoft Office (Word, Excel, Power Point and Outlook)
Willingness to develop knowledge of, respect for, and skills to engage with diverse students and employees
Five years of full-time administrative experience supporting a leadership/manager position
Experience with accounts payable, procurement card use and procedures, fiscal policies, and making travel arrangements
Experience in a position that required working with and maintaining highly confidential information
Experience in a position requiring the ability to work under pressure in a busy office with frequent interruptions, changing priorities, and short deadlines, and to meet deadlines with minimal direction
Preferred Qualifications
Bilingual in English and Spanish
Knowledge of and experience working with Pueblo community
Understanding of atmosphere and working culture of higher education
Two years professional work experience in higher education
Administrative experience supporting a senior-level position.
