Indian Health Service Administrative Support Assistant in Red Lake, Minnesota

Summary Incumbent provides assists and advises the Clinical Director by managing the administrative functions within the department through the performance of a variety of office administrative duties related to financial management, human resources, and administrative services; and other duties in support of medical section of the Service Unit. Incumbent also provides service unit telephone coverage functions and liaison duties. Responsibilities Conducts office business that includes administrative tasks, procurement activities, and routine stocking. Prepares correspondence, reports, and transcribes meeting minutes as assigned. Conducts follow-up activities independently. Assists with document disposition and electronic archiving, serves as the Medical Staff timekeeper, and inputs travel orders for staff. Serves as the point of contact for the Medical Staff and operations and resolves routine issues and escalates requests as needed. Manages the Medical Staff calendar. Qualifications To qualify for this position, your resume must state sufficient experience and/or education, to perform the duties of the specific position for which you are applying. Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community; social). You will receive credit for all qualifying experience, including volunteer and part time experience. You must clearly identify the duties and responsibilities in each position held and the total number of hours per week. BASIC REQUIREMENT(S): GS-05 - 1 year of specialized experience that equipped me with the particular knowledge, skills and abilities to successfully perform the duties of this position. This experience is related to the work of the position and equivalent to at least the GS-04 level in the Federal service as described in the vacancy announcement. OR Have successfully completed 4 years of education beyond the high school level. My education was obtained in an accredited business, secretarial or technical school, junior college, college or university. In addition to the Basic Requirements, you must also meet the Minimum Qualifications stated below. OR have a combination of education and experience that when combined fully meet the minimum qualifications for this position. Only education in excess of the first 60 semester hours is creditable toward meeting the specialized experience requirement. The total percentage equals at least 100 percent to qualify for this GS-05 grade level. Must submit transcripts. GS-06 - 1 year of specialized experience that equipped me with the particular knowledge, skills and abilities to successfully perform the duties of this position. This experience is related to the work of the position and equivalent to at least the GS-06 level in the Federal service as described in the vacancy announcement. MINIMUM QUALIFICATIONS: Your resume must demonstrate at least one (1) year of specialized experience equivalent to at least the next lower grade level in the Federal service obtained in either the private or public sector performing the following type of work and/or tasks: GS-05 Specialized Experience: Create correspondence in proper formats utilizing word processing programs; maintain manual and electronic calendars to add, delete or change meetings; serves as a receptionist or point-of-contact for an office; maintaining electronic and hard copy files; transcribes reports and meeting mintues; inputting data into an automated timekeeping system; input data into an electronic database for procurement of equipment and supplies. GS-06 Specialized Experience: Performs administrative processes such as time keeping; preparing records for processing; scheduling for upper management using electronic calendars; respond to complaints from the public; compile information from a variety of sources to prepare reports; prepare and submit supply requisitions according to established rules; experience as a government purchase card holder. Time In Grade Federal employees in the competitive service are also subject to the Time-In-Grade Requirements: Merit Promotion (status) candidates must have completed one year of service at the next lower grade level. Time-In-Grade provisions do not apply under the Excepted Service Examining Plan (ESEP). You must meet all qualification requirements within 30 days of the closing date of the announcement.
