We are looking for a proactive and organized office administrator to join our team located in Regency Park, South Australia.

Purpose of the Job

This role is responsible for providing comprehensive administrative support across various functions. Responsibilities include assisting with facilities and fleet related tasks, handling general administrative tasks, organising customer service enquiries, coordinating events, and supporting other departments as required.

About the Role – responsibilities of the Office Administrator & Facilities Support role include:

  • Assist with facilities-related administration tasks.

  • Collaborate with internal and external stakeholders to address building maintenance issues promptly and effectively.

  • Maintain relationships with contractors and service providers.

  • Support administrative tasks related to fleet management.

  • Coordinate incoming calls and correspondence, directing inquiries as appropriate.

  • Receive and distribute mail, packages and deliveries.

  • Coordinate logistics and catering for company events and meetings.

  • Assist with scheduling and organising meetings, appointments, travel arrangements and processing expense reports.

  • Maintain office supplies inventory and place orders as needed.

  • Act as the local liaison and administer the SAP Concur Expense Management System.

  • Act as the local liaison and administer the AMEX Travel Booking system

  • Maintain the Insite webpage and office notice boards.

  • Provide ad-hoc assistance to the HR team.

  • Provide support for Oceania-wide event management and assist the marketing team/s as necessary in event coordination.

  • Other tasks as directed by the Country Lead, Operations Manager or Executive Assistant.

Skills and Experience:

  • Experience in facilities administration or related administrative roles is desired

  • Good organisational skills and attention to detail.

  • Ability to coordinate multiple tasks and prioritise effectively.

  • Good communication and interpersonal skills.

  • Proficiency in Micosoft Office (particulary word, powerpoint and excel).
