We’re searching our next Events Specialist. This role requires experience with helping plan, design, and execute virtual, hybrid, and in person events for an office at the U.S. Department of Energy.  

The candidate will be an excellent communicator, has an enthusiasm for collaboration, a proactive work approach, and has a genuine interest in events. This person must be highly motivated, detail-oriented, and organized. Strong candidates will have experience coordinating and communicating with our federal government clients and internal ICF team members to help clients in event planning and management.  

Key Responsibilities:

  • Work closely with the account team and client to develop and execute work plans and track milestones and timelines for multiple meetings, workshops, and conferences simultaneously.

  • Assist with coordinating logistics for webinars and meetings including setting up and arranging transcription and a summary of the meeting as assigned.

  • Facilitate aspects of meeting planning: speaker coordination, ordering supplies, printing/packing/shipping of materials, registration, and marketing outreach, including stakeholder amplification.

  • Work with graphic designer on creating and editing conference programs, signage, and other promotional or event materials.

  • Assist with virtual and in-person conference including coordination of pre-conference needs, all day of needs, and follow up needs for reporting and lessons learned.

  • Support on site event management: conference logistics (including audiovisual rental, signage, poster board rental, registration, and material preparation), onsite staffing, and post-event reporting.

  • Draft communications plans and outreach activities.

  • Create and edit documents, reports, and presentations, using Excel, PowerPoint and Word.

  • Work closely with the communications team to coordinate and manage marketing and dissemination efforts.

  • Support teams on complex programs – ensuring that all milestones and deadlines are met.

Required Qualifications:

  • Able to obtain a public trust.

  • Must be a U.S. citizen (contractual requirement).

  • BS/BA in Marketing, PR, Communications, or related field.

  • 5+ years of experience within agency and/or event, marketing, and communications environment.

Professional Skills:

  • Strong interpersonal and communications skills.

  • Excellent writing skills.

  • Experience working within a team environment.

  • Strong proficiency in PowerPoint, Excel, and Microsoft Word. 

  • Comfortable working with remote teams. 

  • Experience developing event plans and timelines and presenting to leadership teams. 

  • Detail oriented with the ability to work in a fast-paced environment and manage multiple projects, deadlines, and priorities. 

  • Ability to work independently, seek help as needed and contribute to team and company culture. 

Preferred Qualifications:

  • Thrive in a fast-paced environment and can adapt quickly to changing priorities and tasks on a day-to-day basis.

  • Energetic, self-starter and resourceful problem solver.

  • Attention to detail with the ability to work on multiple tasks at once.

  • Experience with Zoom, WebEx, Teams, Eventbrite, Cvent, or similar a plus but not required.

  • Proficiency in MS Office Applications (Word, PowerPoint, Outlook, Excel).

  • Willing and able to travel up to 20% annually (domestically).

  • Ability to give and receive positive and negative feedback.

  • Ability to listen and communicate in a clear and compelling way in both verbal and written forms.

  • Ability to manage multiple projects and competing deadlines.

  • Be able to foster creativity and turn insights and conversations into ideas.

Location: The successful candidate will be local to the D.C. metro area and available to work onsite at the client's office at least one day per week.

Pay Range - There are multiple factors that are considered in determining final pay for a position, including, but not limited to, relevant work experience, skills, certifications and competencies that align to the specified role, geographic location, education and certifications as well as contract provisions regarding labor categories that are specific to the position.

The pay range for this position based on full-time employment is:

$59,837.00 - $101,722.00
