Pacific Northwest National Laboratory Administrative Coordinator in Richland, Washington
Overview
The Chemical and Biological Processing Group within the Energy Processes and Materials Division seeks a highly motivated individual to organize and execute work as a member of the administrative team. The position provides administrative support to scientific and engineering staff as well as non-staff and visitors. This position will receive direction from the group and division administrators. The individual should demonstrate a strong sense of service and teamwork, as well as dependability and trust, as part of PNNL's commitment to both scientific excellence and national impact on critical scientific and technical problems.
Responsibilities
Performs administrative and office support activities. Duties may include managing schedules, emails, and travel, fielding telephone calls, receiving and directing visitors, word processing, creating spreadsheets and presentations, and filing. More specific duties depending on discipline may also include development of required documentation and fielding questions from internal or external stakeholders. Key responsibilities and attributes for the position are as follows:
With a high level of accuracy and attention to detail, provide responsive assistance to staff in the full range of purchasing and ordering needs and issues.
Be a resource to staff on administrative matters such as booking and expensing travel; ordering materials, equipment, and supplies; and order reconciliation.
Basic understanding of departmental and company policies, procedures and practices. Understands internal software programs.
Strong written and verbal communication skills . Ability to articulate standard policy and procedures to multiple audience levels.
Requires a working knowledge of commonly used computer applications such as Microsoft Office Suite, internal software and internal lab business systems.
Ability to manage email with a high degree of speed and accuracy.
Track and purchase supplies and equipment using purchasing system tools in accordance with PNNL policies.
Coordinate and manage travel requests and processing for staff.
This person will also serve as a member of the administrative team among the Energy Processes and Materials Division.
Qualifications
Minimum Qualifications:
High school diploma/GED and 6 years of relevant experience in an administrative environment -OR-
AA degree or higher and 4 years of relevant experience in an administrative environment
Experience in planning meetings and coordinating travel
Preferred Qualifications:
Working knowledge of departmental and company policies, procedures and practices.
Provides suggestions for process improvements. Independently prioritizes and organizes work.
Routinely takes initiative with respect to their everyday work.
Prepares, proofreads and edits written correspondence and documents.
Coordinates group events, off-sites & activities; including coordination of all logistics for event/meeting.
Plans Meetings.
Prepares agendas for staff or team meetings, publishes minutes and action items & follows up on delegated actions.
Interfaces with group personnel and sponsors.
Processes high volume of standard forms, including awards, purchase requisitions, expense reimbursement, and personnel requisitions.
Collects signatures and tracks all requests through completion (receipt of goods, payment, etc.).
Coordinates complex travel for employees and visitors.
May recommend process improvements and innovations for the Directorate or Group.

Security, Credentialing, and Eligibility Requirements
In accordance with Homeland Security Presidential Directive 12 (HSPD-12) and Department of Energy (DOE) Order 473.1A, new employees are required to obtain and maintain a HSPD-12 Personal Identity Verification (PIV) Credential. To obtain this credential, new employees must successfully complete and pass a Federal Tier 1 background check investigation. This investigation includes a declaration of illegal drug activities, including use, supply, possession, or manufacture within the last year. This includes marijuana and cannabis derivatives, which are still considered illegal under federal law, regardless of state laws.
For foreign national candidates:
If you have not resided in the U.S. for three consecutive years, you are not eligible for the PIV credential and instead will need to obtain a favorable Local Site Specific Only (LSSO)risk determination to maintain employment. Once you meet the three-year residency requirement, you will be required to obtain a PIV credential to maintain employment.
Mandatory Requirements
Please be aware that the Department of Energy (DOE) prohibits DOE employees and contractors from having any affiliation with the foreign government of a country DOE has identified as a “country of risk” without explicit approval by DOE and Battelle.
