Job Responsibilities:
Customer Service
Provide informed and courteous support to staff, students, partners, program participants and guests to answer questions and disseminate information regarding RIT K-12 and its initiatives.
Manage front desk area and greet guests.
General Administrative Support
Manage and order supplies. Keep inventory of supplies, equipment, and keys.
Manage office facilities. Maintain the copier. Manage parking and key card access.
Manage room reservations.
Manage mail and shipping.
Prepare and submit appropriate forms for personnel actions such as recruiting, hiring, changing status of staff and student employees.
Manage student timecard and payroll actions using online timekeeping system and payroll systems (Kronos and Oracle).
Manage and reconcile department procurement cards, including coordination with RIT K-12 staff, ultimately ensuring that all required steps are completed on time each month. Track and categorize all expenses in the reporting systems specific to each of the funding sources (grant, project or operating budget) and split costs as appropriate. Participate in trainings and meetings to support purchasing.
Assist with the planning of departmental events (advisory board meetings, department celebrations or professional developments, speaker series, etc.), as assigned.
Committee work and special projects as assigned.
Program-Specific Support
Package, ship, and track shipments to AEOP participants.
Data entry, mailings, and administrative projects as assigned for STEP and LPP programs.
Mailings, room reservations, supply management in support of summer camp and Saturday programs.

Required Qualifications:
Experience
- 2 years of office experience including customer service, data entry, shipping, event planning, and use of standard Microsoft Office applications (Outlook, Word, Excel, PowerPoint).
Skills
Advanced knowledge of Microsoft Outlook, Word, Excel and Google Suite including advanced experience with calendaring including scheduling virtual webinars and meetings
Adapts quickly to new technology and equipment
Strong interpersonal and organizational skills; must be adept at communicating with audiences of all backgrounds and education levels
Excellent customer service.

RIT K-12 works in collaboration with all divisions at RIT to build connections between the college and the K-12 community (youth, teachers, parents, schools). This is accomplished through a portfolio of initiatives including customized campus visits, onetime hands-on experiences, ongoing grant-funded programs facilitated in partnership with area schools, strategic partnerships with K-12 schools, broader impact efforts designed with RIT faculty, internships and career development programs, and summer camps. Job Summary:
The Senior Staff Assistant will report to the Associate Director of Registration and Finance to provide administrative support to the RIT K-12 University Center, a university research center.
This is an on-site position based out of the RIT Downtown Center (40 Franklin Street) that requires previous experience with customer service and providing support to an office environment. Associate’s degree preferred. Must be able to lift supplies up to 25 lbs. Must have regular access to personal transportation and be able to travel to partner schools and RIT’s Henrietta campus as needed.
