ARAMARK Support Services Lead Coordinator - Avendra in Rockville, Maryland

Job Description

This position is responsible for the continuous daily interaction with callers, visitors and Avendra associates, ensuring all visitors are made welcome and comfortable while representing Avendra in a professional manner and phone calls are answered in a timely and effective manner. Additionally, the position is also responsible for the general management of day-to-day facilities operations including coordinating mail services, office supply procurement, copier and fax machine supply/maintenance support, back-up receptionist support, and maintenance of coffee stations and related supplies. Other responsibilities also include day-to-day coordination with building management and space planning for meetings.

Position Reports to the Senior Human Resources Manager

Job Responsibilities

Primary Responsibilities

? Serves as the primary point of contact for Avendra for both incoming calls and visitors to the corporate office

o Answer all incoming calls to the switchboard during Avendra?s regular business hours

o Responds to telephone inquiries from vendors, customers, Founders and the general public, routing calls to appropriate Avendra employees as necessary

o Greet, receive and announce all visitors, ensuring their comfort while at Avendra; i.e., coats, hot/cold drinks, and providing corporate information as requested

o Manage the mail and package distribution

o Activate or change (in office and remotely) the phone voice message for holidays, early closure, or weather-related events

o Coordinate schedule for back-up support for the reception area to ensure coverage during Avendra?s business hours

o Maintain Avendra?s internal telephone and photo directories, evacuation list and other files as assigned

? Support the Senior Human Resources Manager with onboarding and orientation efforts to include the following:

o Greeting new employee and touring the facility

o Answering myPay, Kronos, and MyWorkLife questions

o Some recruiting tasks: scheduling of all applicants interviews as necessary

o Training scheduling and communication

Secondary Responsibilities

? Serve as point of contact with the Property Management Company to resolve individual employee requests, i.e., temperature, lighting, reserving the building?s large conference center, etc.

? Point of contact for, Iron Mountain and JK Moving shredding bins

? Maintain Datawatch Badges

? Coordinate catering requirements for Avendra meetings as requested

? Process FedEx Invoices ? verifying charges and departments; collecting checks from associates for personal use and submitting through API for approval

? Maintain supplies for meetings ? including use of projectors stored in the closet by the front desk

? Create office name tags for new employees

? Coordinate Wi-Fi access for guests

Qualifications

Role Requirements

? Computer literate with knowledge of Microsoft office programs; i.e., Word, Outlook, Excel

? Previous experience working with a multi-line switchboard

? Demonstrated ability to successfully resolve issues and problems as they arise

? Ability to communicate effectively with all levels of management internally and externally to schedule meetings and manage job applicants

? Ability to follow up and follow through with hiring managers and Talent Management staff
