ST CHARLES COUNTY GOVERNMENT Nursing Program Assistant - Public Health in Saint Charles, Missouri

PURPOSE: The purpose of this position is to perform a variety of clerical support functions including client service, reception, or recordkeeping tasks to assist nurses with clinic visits; and to assist with vital records or administrative services. Incumbents may be assigned according to department needs to support WIC, Immunization, STD, or Vital Records. The work is performed under the supervision of the WIC Program Manager.

JOB DESCRIPTION:

  • Greets clients, determines nature of visit within a clinic setting, and answers general questions regarding immunization or W.I.C. clinic services.
  • Participates with outreach clinics to provide W.I.C. or immunization services. Collects and transports materials and/or equipment to outreach clinics. Prepares for outreach clinics by calling clients or sending mail reminders.
  • Provides program information and eligibility to WIC clients. Schedules appointments and interviews.
  • Interviews potential clients for WIC program eligibility and explains program services. Assists new participants with program services.
  • Enters client information including name, address, date of birth, gender, race, immunizations administered, etc., into computer records. Tracks, verifies, and updates client files.
  • Accurately gathers and records required certification information such as height, weight, hgb obtaining bloodwork via fingerstick on adults and children.
  • Runs monthly reports from compiled data. Closes client files according to policies. Issues W.I.C. benefits and prepares correspondences related to these services.
  • Assures accountability of Ewic card system, maintains security of Ewic cards. May assist the Ewic card custodian with reconciliation and security processes.

Immunizations:

  • Retrieves client records, evaluates immunization records, distributes necessary forms, explains immunization schedules, assists clients with their completion, and accepts fees.
  • Prepares health claims for payment by federal and state programs and balances accounts.
  • Utilizes Showmevax to obtain requested records.

Vital Records:

  • Greets visitors and determines nature of visit. Provides information to visitors and answers questions regarding public health programs and services, or refers to appropriate person.
  • Receives, screens and directs telephone calls to appropriate person. Provides information to callers.
  • Takes and relays messages.
  • Assists with processing requests for birth and death certificates.
  • Maintains logs and verifies accuracy of data. Closes and/or files records after data entry.
  • Checks eligibility for Medicaid. Prints and mails paperwork for Medicaid companies.
  • Processes birth and death applications and enters into computer to generate certificates. Registers death certificates from funeral homes.

Administrative:

  • Provides clerical support to administrative staff and administrative assistants.
  • Assists with mass mailings, data entry, filing, or balancing accounts.
  • Greets clients, determines nature of visit within a clinic setting, and answers general questions regarding clinic services.
  • Creates and maintains client charts in EMR.
  • Instructs clients on how to complete demographic forms, fee determination forms and consent forms.
  • Schedules client appointments and calls 1 day prior to appointment to confirm time.
  • Enters client charges into clinic program, collects fees, prints receipts, processes accounts receivable and enters them into Finance Department program MUNIS.
  • Prepares Medicaid claim forms for submission to various providers. Posts Medicaid payments to client account.
  • Records clinic specimens and packages them for transport by various couriers.
  • Inventories supplies and places orders as needed.
  • Prepares quarterly reports for participation in MIPP (Missouri Infertility Prevention Program)
  • Monitors schedule of health educators as necessary.
  • Cleans clinic and office space as necessary.
  • Answers phones, accepts donations, writes receipts, and assists with mass mailings. Receives, assists or directs visitors and clients in the main reception area.
  • May be assigned to any nursing program section.
  • Works on special projects.

REQUIREMENTS:

Education

  • General/tech high school diploma or GED equivalent

Job Experience

  • 1-3 years of experience
  • Requires one year general clerical experience.

Knowledge, skills and abilities

  • Must have general clerical experience, preferably in a clinic, day care, or customer service setting.
  • Employment is contingent on successfully passing a full criminal background check.

Requires successful completion of computerized clerical skills testing with the following minimum scores:

  • Data Entry = 4800 KSPH
  • Microsoft Word = 50%
  • Microsoft Excel = 50%
  • Basic Math = 80%
  • Customer Service = 80%
