Job Description

We are seeking a highly organized and detail-oriented project administrator to join our growing Strategy team at Impact Finance. The Strategy team supports and enables the organization, and this role will be responsible for facilitating centralized operations, supporting business areas, and providing front desk support on-site. This individual will be responsible for supporting our business areas with logistics around office and Fashion Square building operations, including employee onboarding/offboarding, supply management and mail/deliveries.

The project administrator will be responsible for working independently to support, manage and execute daily operations and will work with a diverse set of internal partners to collaborate and coordinate. Success in this role requires a proactive, supportive individual with a keen eye to detail and a collaborative, team-oriented mindset. This individual should be able to manage multiple projects at once and have proven track record of creating and maintaining organized workflow and task management.

Specific responsibilities:

  • Serve as primary point of contact at our front desk, responsible for greeting and assisting all guests and employees. Ensure efficient management of front desk operations, including handling inquiries, directing visitors and maintaining a welcoming reception area.

  • Coordinate and streamline day to day operations of Fashion Square office spaces to ensure efficiency and effectiveness, including reviewing and maintaining fully stocked and operationalconference rooms, break areas, and supporting technology/equipment

  • Daily review of all 5th floor conference rooms, making sure all equipment is powered down, drinks stocked in mini-fridge, and equipment/technology is in place, etc.

  • Set up and break down large in-person meetings, including coordinating and receiving catering deliveries and assisting with any technology set up.

  • Ability to repeatedly move up to 50 pounds, stand or sit for extended periods of time

  • Ability to move trays and carts of work, repetitive motions

  • Serve as a notary for teams and partner with Finance team to receive, process, log and secure checks

  • Serve as the primary point of contact for all visitors, equipment returns, badge requests and new employee first day in office, providing exceptional customer service

  • Develop clear and consistent procedures for work order management, including new work orders, and escorting/managing third party vendors working on site

  • Oversee onsite logistics, including parking inquiries/issues, employee access, building maintenance requests and spearhead troubleshooting any issues that arise.

  • Manage shared inbox, incoming mail, UPS pickups/receipts and process mail and deliveries, directing to the appropriate parties

  • Maintain supply orders, including tracking and managing when replacements are needed and proactively ordering supplies to stock breakroom, conference rooms and printers

  • Continuously seek opportunities to improve processes and quality of processes, tasks and front desk operations.

  • Ability to take direction well from multiple sources

Basic Qualifications

  • Bachelor’s degree, or equivalent work experience

  • Typically up to two years of related experience

Preferred Skills/Experience

  • Basic knowledge of assigned business line or functional area

  • Well-developed organizational and analytical skills

  • Basic knowledge of project management

  • Ability to identify and resolve exceptions and to analyze data

The salary range reflects figures based on the primary location, which is listed first. The actual range for the role may differ based on the location of the role. In addition to salary, U.S. Bank offers a comprehensive benefits package, including incentive and recognition programs, equity stock purchase 401(k) contribution and pension (all benefits are subject to eligibility requirements). Pay Range: $20.00 - $25.63 - $28.19
