Fairbanks Scales Inc. Service Administrator in Saint Paul, Minnesota
Overview
The Service Administrator will support the Area Service Manager, and Service Technicians, and customers through exceptional service and support and is responsible for coordinating joint activities and exchanging information with many internal and external contacts.
Responsibilities:
Handle general customer inquiries, i.e. invoices and billing questions, and general product information in a prompt and courteous manner
Respond to all internal inquiries from Technicians, Area Service Managers, and other internal contacts promptly
Help resolve customer billing or service issues to resolve past due invoices
Input billings data daily. (100% completed by the end of each week)
Generate and properly complete quality work orders
Complete inter-division billing (installation, intra-shop transfers & warranty)
Input, track, and verify commissions using Quarterly Commission Report
Prepare and review the Open Order Report on a weekly basis.
Effectively schedule technicians from the Open Order Report.
Review and process invoices twice a week (Accounts Payable).
Accounts Payable invoices to be 100% current by the end of the week.
Utilize the Metrix Software to open, process, and complete orders
Perform administrative support to assigned Customer Support Centers in an accurate and timely fashion
Order all publications and literature and maintain the filling of product or marketing materials
Maintain parts inventory including maintaining the order log, pricing/ordering parts, working with various vendors
Maintain the quotation log for the Customer Support Center
Always represent Fairbanks Scales in a professional and ethical manner
Perform other related duties as assigned
Requirements
2 - 4 years of work experience in a clerical or administrative role
Working knowledge of word processing and spreadsheet programs
Knowledge of basic mathematical computations
General office organization skills
Possess a cooperative attitude, be personable
Reliable attendance is an essential requirement of the job
