The Operations Support Specialist position is ideal for a detail-oriented professional with exceptional communication and problem-solving skills; expertise with accounts payable/receivable and analytical reporting.

Responsibilities

Work in collaboration with the Operations team; including Operations Manager, Assistant Ops Manager, Leasing Administration Specialists, Bookkeeper and Property Accountant. Assist with resident collections and delinquent account balances, military allotments, processing of resident and vendor receivables along with other property related accounting. Assist with development and updates of Standard Operating Procedures (SOP’s) and maintain working knowledge of Accounting Month End (AME) processing. Assist with data validation and population of various analytical reports.

o Reconciliation of all Tenant Ledger Accounts to ensure accuracy is maintained at all timeso Processing of all move-in/move-out (MIMO) reports as well as promotions reportso Accurately post all tenant related charges: rents, repairs, cleaning fees, etc.o Reconcile the Accounts Receivable balances between Delinquent and Prepaid Reporto Close out all Final Account Statements (FAS) for the montho Close out all virtual(cash) transactions on a daily basiso Verify BAH allotments are entered & adjusted correctly during twice monthly AA reportingo Assist with all necessary Month End Reports required as part of the month end close (AME)o Promptly report any financial discrepancies to the Operations Manager and/or Senior Property Accountanto Assist with vendor payables as needed and occasionally enter and attached invoices when they are received; assist with payable processing to increase efficiency

• Oversee daily accounting flow for resident collection and payment activities. Ensure timely collection of rents, proper set up of military allotments, delinquent account balances, accounts payable processing and various other financial processes including vendor receivables.

• Collaborate with Property Bookkeeper to maintain accurate property accounting records, validate purchasing data and assist in streamlining accounting processes. Provide fiscal systems support as needed.

• Prepare and analyze leasing, operational, and management reports in a timely manner; complete various analytical reports and special projects as needed.• Assist in evaluation of operational processes identifying inefficiencies to recommend and develop systems for improvement.

• Work with Operations Manager and Assistant Operations Manager to ensurecompliance with local, state, and federal laws, as well as any applicable regulations and military policies and procedures.

• In addition to the above; provide assistance with training and execute all other duties as assigned to ensure adequate property management operations are maintained.

The Operations Support Specialist must be able to draft clear and concise correspondence internally and externally and is expected to maintain cooperative and professional relationships with all other company employees in order to foster a comfortable, productive, and efficient work environment. Demonstrate trustworthiness, responsible behavior and sound decision making. The Operations Support Specialist is to perform all job responsibilities with safety, fairness and consistency and to implement the policies of the community as defined by the Resident Guidelines and Community Handbook.

Qualifications

Required Experience:

Proven quantitative and analytical skills Bachelor’s degree preferredMinimum of 3 years of experience in residential real estate/multi-family property management preferred Experience working with OPS Technology, RealPage, Yardi, is a plusSuperior written and verbal communication skillsAbility to read and interpret balance sheets, ledgers, service contracts and invoices Working knowledge of Microsoft OfficeProven prioritization, Time management, and Project Management skills.

  1. A minimum of 3 years’ experience in a bookkeeping/analyst capacity and/or multi-family property management administration.2. Military experience or prior exposure to the military is preferred.3. Must be able to pass background investigation and drug test screening

Required Education/Training:

  1. High School Diploma or equivalent; some college preferred2. Valid Driver’s License3. Must successfully complete all required courses, classes, and training provided by MMS

Required Skills and Abilities:

  1. Be able to work as part of a team and complete assignments independently. Demonstrate an ability to lead, support and contribute to community ideas and changes2. Strong attention to detail3. Demonstrate strong verbal and written communication skills4. Advanced experience with Microsoft Office Suite, Google Workspaces and general fiscal management software5. Demonstrate a professional and positive attitude in every aspect of work. Interact with co- workers, supervisors, vendors, residents, guests, and the public in a professional and pleasant manner at all times6. Participate in trainings and comply with new or existing laws7. Display a neat, clean, professional appearance at all times when present on community property8. Comply with expectations as demonstrated in the employee handbook9. Demonstrate ability to diffuse and respond to customer concerns to avoid escalation of potential issues10. Ability to work in a fast-paced and service-oriented environment11. Perform duties with accuracy and meet deadlines in a timely manner12. Prioritize and manage daily workload to ensure successful completion13. Comprehend detailed instructions from supervisors14. Exercise solution focused skills

Working Conditions:

  1. Must be able to work 40 hours per week and to include some evenings and weekends if required for community events. Occasional overtime hours may be required.2. Requires routine squatting, walking, and lifting of no more than 30lbs without assistance, with full range of motion.3. Must be able and eligible to drive a company vehicle.

Salary Range Information

The range displayed on each job posting reflects the targeted base salary for the position. Within the range, individual pay is determined by work location and additional factors, including job-related skills, experience, and relevant education or training.

Salary Range

$32.00-$35.00 per hour
