Under general supervision, the Senior Management Assistant performs difficult and complex professional level administrative and/or management duties in a variety of functional areas, such as: office/operations management; budget development, administration, and fiscal reporting; development and administration of contractual agreements, leases and grants; evaluation and development of management policies and procedures; management of department specific programs and functions.

Essential Functions:

The Senior Management Assistant will regularly meet with the Facilities Director and will access all areas of the 13-story high rise to assess, document, observe and evaluate space utilization and constraints. The position will interact with various teams to collect, review, and analyze requested and required information to confirm accuracy of existing documents. This position will work with various software programs to prepare and update documents and reports as needed to present at meetings to management and executive staff for review and approvals. The Senior Management Assistant will compile information, engage staff, create, and propose work strategies on floor by floor basis and team needs. The position will engage and communicate regularly with Facilities team and various subject matter experts as needed.

Class 1844 performs other related duties as required.

Minimum Qualifications:

Education:

Possession of a Baccalaureate Degree from an accredited college or university.

Experience:

Three (3) years full-time equivalent experience performing professional-level administrative duties in functional areas such as: program/office/operations management, budget development and/or administration, development and administration of contractual agreements and/or grants, or other closely related functional areas.

Substitution:

Additional qualifying experience in program/office/operations management, budget development and/or administration, or contract/grant administration may substitute for the required education on a year-for-year basis. One (1) year (2000 hours) of additional qualifying experience will be considered equivalent to thirty (30) semester units or forty-five (45) quarter units.

One year of full-time employment is equivalent to 2000 hours. (2000 hours of qualifying work experience is based on a 40-hour work week.) Any overtime hours that you work above forty (40) hours per week are not included in the calculation to determine full-time employment.

Applicants must meet the minimum qualification requirement by the final filing date unless otherwise noted.

Desire Qualifications: 

  • 5 years of experience building management experience specific to a LEED High Rise building. 

  • 5 years of experience working with building maintenance, tenants, contractors, and vendors.

  • 5 years of experience with City and County of San Francisco procurement process.

  • 5 years of experience working with floor plans.

  • 5 years of experience with building maintenance and reservation management software systems ie: Maximo, SNOWWRM, Outlook

  • Experience supervising administrative staff.

  • Detail oriented and highly organized.

  • Strong customer service skills

  • Critical thinking and problem-solving skill
