Required Qualifications: Applicants must specifically address how they meet these required qualifications to meet the requirements of the position.
High school diploma or equivalent.
Strong oral and written communication skills.
Evidence of strong organizational and time-management skills.
Proficient with various software and productivity tools (MS Office, Adobe, Office Equipment)
At least two years experience as an administrative assistant, secretary or bookkeeper.
Works effectively and courteously with co-workers, staff, faculty and students.
Preferred Qualifications
Experience in a higher-education environment.
Knowledge of Texas State University policies and procedures.
Prior experience handling sensitive or confidential information.
Job Description
The Administrative Assistant II provides administrative and general clerical support to the management and staff within a specific division, department, or unit.
Job Duties
Work as the department designated Travel Assistant to process faculty and student travel requests and reimbursements.
Support the department administrative office by greeting students, faculty and guests; routing phone calls; answering inquires and handling or delegating assignments as they occur to student workers.
Assist/back-up PCR processing for undergraduate student workers.
HireRight/I-9 Processing: Undergraduate and Student Workers.
Support the Computer Science Scholarship Committee with applications and disbursement of scholarship funds.
Assist with reimbursements and processing e-NPO’s, IDT’s.
Assisting with payroll – work with student workers and faculty to ensure payroll deadlines are met.
Provide research funding administrative support to faculty members.
Assist other administrative assistants with student prerequisite and other course enrollment overrides and general enrollment processes.
