Ohio Farmers Insurance Company Executive Assistant to the Chief People Officer in Seville, Ohio

Salary Range: $59,613-$74,506-$89,419 #LI-DNI The Executive Assistant to the Chief People Officer, working under minimal supervision, provides high level administrative support for the Chief People Officer and the Human Resources division by applying a thorough understanding of company-wide and HR departmental operations. This role is responsible for ensuring smooth delivery of the activities that support enterprise priorities and uses critical thinking to determine the approach or action to take in non-routine situations. The role contributes by proactively handling the day-to-day needs of the departmental leadership team and providing expertise to deliver on special projects as assigned. The role acts as a peer leader within the company's administrative professional team. Provides administrative support for the Chief People Officer (CPO) by coordinating administrative details, including scheduling virtual, onsite, and hybrid meetings; following up on leaders' requests; coordinating travel and logistics domestically and internationally; coordinating meetings; and facilitating events and other activities. Supports the HR leadership team and the overall HR department by coordinating administrative details, enabling effective prioritization, and facilitating the logistics necessary to achieve department and organizational objectives. Coordinates across multiple leaders' calendars in a constantly changing work environment, managing through calendar conflicts using sound judgment to streamline daily, weekly, and monthly recurring calendar events. Serves as an HR department liaison, acting as link between company leadership, department staff, other business units, customers, and guests to ensure smooth and efficient operations. Performs the gatekeeper and gateway role, provides a bridge for smooth communication between the leadership team and staff, and directs correspondence from external customers, agents, vendors, and contractors, resolving or appropriately escalating routine and complex inquiries from these groups. Assists with preparing and distributing presentations, documents, reports, and other materials in support of strategic and enterprise priorities. Maintains professionalism and strict confidentiality with all materials and exercises discretion when interfacing with business partners. Arrange meeting agendas, take notes, track action items, and assist with correspondence as needed. Arrange and orchestrate leadership team meetings both on and off-site by preparing agendas, materials, and meeting logistics. This includes facilitating meeting technology, including Teams, to ensure the inclusion of both in-person and remote meeting attendees. Maintains clear and precise communication with leaders during travel, prioritizes communication, provides information, facilitates or makes timely decisions, and focuses on details to ensure that information is clearly communicated and tasks are accurately completed. Manages multiple projects and priorities and initiates follow-up to ensure timely achievement of commitments such as onboarding new employees and assisting with training and assimilating new administrative professionals. Manages business expense reports and ensures expenses are submitted and approved on a timely basis. Educates/trains self on the use of various software to optimize efficiency and outcomes of projects. Maintains confidentiality of employee, client, and/or company records and issues. 5 + years of experience in Executive Support roles.
