The Department of Anesthesiology, Perioperative & Pain Medicine at Stanford University School of Medicine is seeking an Education Programs Specialist (Fixed Term 6 months) to provide administrative and operational support with minimal supervision. The incumbent is responsible for developing the resident rotation master schedule and monthly/weekly call schedules utilizing scheduling software to publish accurate schedules for 118 residents in a timely manner. Ensure that all daily clinical assignments are covered with appropriate resources while meeting resident requests for time away and clinical experience requirements of the ACGME. Communicate regularly with residents about their scheduling preferences and needs. Work directly with the chief residents and program manager to ensure compliance of work hours, case logs and clinical experience for the trainees to ensure they are working toward board eligibility at graduation. Work with various Anesthesia specialty divisions to ensure all schedules are prepared timely, entered into various scheduling programs, and updated, as necessary, with any changes throughout the month.

Ensure that all clinical assignments are covered each day with appropriate resources while meeting program expectations for time away. Monitor and manage overnight call assignments. Produce quarterly reports with call data to ensure fair distribution. Track and maintain records for residents’ vacation requests, conference leaves, and away time. Serve as backup to program coordinators.

Duties include:

  • Maintain confidential resident/fellowship files and monitor records of resident/fellow attendance for all required educational activities, including conferences and other didactic experiences. Maintain and track attendance for CA1-3 lecture series in Medhub.

  • Maintain and track weekly didactic lecture schedules for each residency class, including sending reminders, tracking attendance, working with faculty to build annual lecture schedules, etc. Build schedules in google docs, set up zoom recordings and reserve room space for Orientation, CBY Orientation and CA1 Introduction Lecture Series.

  • Monitor and document the residency/clinical fellowship evaluation process. Que evaluations in Medhub based on rotation schedules. Review rotation schedules for accuracy to ensure residents and faculty are evaluating correct personnel and in a sufficient timeframe. Work with Directors of Assessment for accuracy of milestone evaluations.

  • Communicate regularly with residents/fellows and faculty regarding the daily activities, such as conferences and workshops. Responsible for communications with residents regarding national conferences such an ASA and SRA.

  • Provides administrative support to Program Director including scheduling of meetings, maintaining membership lists, preparations of agenda, record and maintain meeting minutes, and development of reports.Provide support to Education Committeepreparing agenda and finalize meeting minutes.Work with GME and CA medical board to ensure residents are compliant with licensure; PTL to P&S as well as EF forms for incoming CA1s.

DESIRED QUALIFICATIONS:

  • Four-year college degree

  • Stanford experience, particularly related to postdoc policies/procedures

EDUCATION & EXPERIENCE (REQUIRED):

Two-year college degree and one year of relevant experience, or combination of education and relevant experience.

KNOWLEDGE, SKILLS AND ABILITIES (REQUIRED):

  • Ability to work independently and to coordinate multiple assignments with fluctuating priorities.

  • Agile and quick learner who can adapt easily to Stanford specific software and clinically related software.

  • Solid oral and written communication skills. Ability to work with all levels of faculty and staff, and handle diverse workload.

  • Must have excellent customer service skills and ability to adapt to changing work environment.

  • Proficient with Excel, Word and other applications required.

  • Ability to learn, understand and apply Accreditation Council for Graduate Medical Education (ACGME) or other subspecialties guidelines

PHYSICAL REQUIREMENTS*:

  • Constantly perform desk-based computer tasks.

  • Frequently sitting.

  • Occasionally stand/walk, reach/work above shoulders, grasp lightly/fine manipulation, grasp forcefully, use a telephone, sort/file paperwork or parts, lift/carry/push/pull objects that weigh up to 10 pounds.

  • Rarely twist/bend/stoop/squat, kneel/crawl.

The expected pay range for this position is $34.62 to $43.75 per hour.
