PARALEGAL SPECIALIST – 70036132

**INTERNAL OPPORTUNITY ONLY – Must be currently employed with the Florida Department of Corrections to be considered for this position.

This advertisement is for a Career Service position located at the Carlton Building Tallahassee, FL in the Office of General Counsel.

Salary Rate: $41,029.04 – $43,308.20 (based on years of experience)

SALARY WILL BE DETERMINED IN ACCORDANCE WITH CURRENT PAY POLICY.

SPECIFIC DUTIES & RESPONSIBILITIES:

  • Works independently without supervision to process subpoenas served on the department and department staff including Trial Subpoenas, Witness Subpoenas, Subpoenas for Deposition, Jimmy Ryce Subpoenas, Subpoenas for Hearing, Subpoena Duces Tecum for Inmate Records, and Subpoena Duces Tecum for Personnel Records.

  • Generates and updates checklists for monitoring compliance of the subpoenas for personnel, inmate medical and classification records and other miscellaneous records to be provided.

  • Conducts necessary research and gathers information and documentation for procedure review by attorneys.

  • Communicates and coordinates with members of the department regarding confidential information to be redacted. Independently reviews and determine confidentiality of the requested records to determine releasable information through subpoena, initiates contacts with requesting attorneys regarding releasable records.

  • Monitors and ensures responses to the subpoenas are provided in a timely manner in accordance with established deadlines, to prevent monetary damages from being assessed against the department in Contempt of Court proceedings.

  • Initiates, coordinates, and maintains contact and necessary follow-up procedures with the department members, outside agencies and attorneys to ensure proper compliance of the subpoenas.

  • Independently processes emergency subpoenas ensuring assignment to an applicable attorney under mitigating circumstances. Drafts, maintains, and updates various correspondence in compliance with subpoenas and notes all objections for attorneys’ review and signature.

  • Assign and assist attorneys with complex subpoenas.

  • Maintains various computer logs that document subpoenas, records, documents, reports and other records and information, including ProLaw.

  • Maintains all subpoena files for the Office of the General Counsel.

  • Review, scan and distribute inmate correspondence received in the Office of General Counsel to other areas of the Department as appropriate.

  • Draft correspondence to inmates when necessary and instructed to do so by attorney.

  • Ensure that all inmate correspondence in logged into the ProLaw tracking database utilized by the Office of the General Counsel.

  • Experience with Microsoft Office programs (Excel, Access, Word, Outlook).

  • Ability to organize documents in a logical format for presentation to the requestor.

    REQUIRED QUALIFICATIONS:

  • Must have one (1) year of paralegal or legal secretary experience; or possession of a Paralegal Degree and one (1) year of paralegal experience; or possession of a four (4) year college degree and a minimum of six ( 6) months of clerical experience

  • Must be able to work with the Office of General Counsel's case tracking system and caseload database; compile status reports for attorneys on matters; assist with scheduling and calendaring deadlines; processing state and federal subpoenas; and must have experience with handling matters in state and federal courts.

  • Must have good computer skills, working knowledge of Microsoft Word, Excel, PowerPoint, Office 365, Outlook; and must have good oral and communication skills.

  • Must currently employed with the Florida Department of Corrections
