    Position Summary: Performs receptionist duties and provides secretarial support as assigned. Gains and maintains knowledge of agency services and programs. Monitors and maintains directory Information. Assists in maintaining neat appearance of reception area.

Reporting Relationship: Receives direct supervision from Administrative Manager.

Job Duties and Responsibilities:

  • Operates multi-line switchboard and logs incoming calls. Accurately routes calls and messages to appropriate staff members. Documents messages and routes to intended recipient.

  • Monitors doors and hallways via security system. Follows policy to ensure that visitor’s sign-in, show ID and are escorted by a coordinator/staff member to their destination.

  • Routes agency mail daily (on-site and other agency locations). Prepares mail for courier. Receives and/or handles returns for package delivery/pick up.

  • Sell and distribute event tickets, plant sales, etc., as requested. Task involves tracking orders, some cash handling and distribution of goods.

  • Develop and process supply requests and orders.

  • Provides general clerical support and coverage for other clerical positions when required. May need to travel to other locations.

  • Maintains and protects confidential or other sensitive information such as Protective Health Information (PHI) and Personally Identifiable Information (PII) as defined in the Agency’s Information Security Policy.

  • Demonstrates the agency values of integrity, respect, responsibility, trust, teamwork and positive attitude. Learning and honesty in working with students, families, colleagues and members of our community.

    Qualifications and Education Requirements: High school or equivalency diploma supplemented by a word processing/typing course with ability to perform at a satisfactory rate of speed; or at least one year previous experience on a multiple line switchboard. New York State Driver's License.

    Must be familiar with a multiple line switchboard and the ability to answer telephone lines in a pleasant, timely manner. Legible handwriting; project a professional, courteous and mature image to the public at all times. Strong computer skills, knowledge of Word, Outlook, Excel, Publisher and other software tools that will assist in daily operations.

    It is essential that the Receptionist/Secretary have visual acuity in the normal range, have hand/finger dexterity, be able to read and speak English fluently and follow complex written/oral directions, be able to work alone and with others.

  • Equipment Operation: The ability to operate office equipment, such as computer, copier, fax machine, laminator, switchboard/phone system, postage meter, etc., use household cleaners, chemicals and ability to come in contact with normal household dust/dirt.

    Good attendance is vital for the efficient and effective operation of quality programming and is an essential job function of this position.

This position is NON-EXEMPT from the overtime requirements of the Fair Labor Standard Act.
