Job Overview:

The Field expeditor is to be available for the Package Manager to physical visit the suppliers facilities and sub suppliers facilities if required. The Project Field Expeditor is responsible for assisting/supporting the Package Manager in monitoring, challenging, advising and reporting against vendor schedules, as well as managing submittals, RFI’s, plan document management and project specifications and fabrication progress verification.

Key Tasks and Responsibilities:

  • Assist and support Package Manager with any requirement in the suppliers offices or facilities.

  • Monitor and test supplier schedules.

  • Expedite shop drawings and check/field verify.

  • Monitor job site safety.

  • Expedite material deliveries and job Purchase Orders.

  • Verify Quality Control programs.

  • Interface with property management.

  • Assist Package Manager in drawing/spec compliance.

  • Attend testing and lab services if applicable.

  • Assure subcontractor contract compliance.

  • Expedite and assist QA and Package management with RFI’s.

  • Maintain job site photos.

  • Coordinate and track change management

  • Proactively expedite supplier and inspections for NOIs

  • Coordinate IRN process

  • Supervise team to identify supplier performance gaps and potential delivery delays

  • Execute expediting strategy to track the movement of project materials and deliverables

  • Execute effective expediting frequency based on the Expediting Level assigned to the Purchase Order

  • Liaise with Logistics and Package Management teams to facilitate the timely status of project goods and materials

  • Support supplier performance review process on behalf of Expediting

  • Recognize when Management of Change (MOC) is required

  • Participate in projects to assess or develop new Expediting tools as assigned

  • Effectively communicate with Procurement, suppliers, and other process stakeholders

  • Review Purchase Order delivery requirements to ensure quality and project requirements are met

  • Identify and understand levels of required expediting and action workload to optimize material deliveries according to project schedule requirements and shop demands

  • Input consistent and timely updates in the Company system and distribute expediting reports to the Project Team and Suppliers to provide insight into the progress of the package and to flag any concerns or issues for discussion

  • Ensure the Supplier’s timely delivery of all items on Purchase Orders to maintain the Project schedule

  • Work with procurement management to identify performance gaps and delays, including engineering drawing delays, fabrication problems, delivery delays, sub-supplier management, and people resources

  • Ensure expediting issues are being coordinated between the other departments, offices, fabrication, and construction teams to meet project requirements and deadlines

  • Collaborate with Logistics on material movements

  • Maintain and promote a focus on the end-product whether procurement, engineering, fabrication, or construction related

  • Actively resolve expediting related issues

  • As Team Supervisor, drive accurate and timely project status reporting process and weekly expediting reports

  • Ensure effective communications among procurement disciplines, clients, project teams, and suppliers

  • Understand and consistently use Expediting procedures as established in company policies

  • Maintain a comprehensive understanding of the contract

  • Perform other Supply Chain Management tasks as assigned

Essential Qualifications and Education:

  • 3 years expediting vendor/supplier experience.

  • High School required/Bachelors preferred

  • Microsoft Office Suite including Word, Excel, and Outlook

  • Ability and no appose to travel.

  • Bachelor’s Degree (or equivalent) in Supply Chain Management (or a relevant discipline) or HSD/GED/IGCSE with 6 years of relevant experience

  • 6-10 years of relevant experience

  • Experience expediting supplier documentation, instrumentation such as control valves and MOVs (Motor Operated Valves), major equipment such as vessels and pumps, and bulks

  • Experience expediting Structural Steel fabrication and Pipe Fabrication is a plus

  • Demonstrate knowledge of the expediting process as related to Procurement

  • Ability to effectively communicate with procurement personnel and non-procurement personnel

  • Ability to work well with others

  • Working knowledge of Microsoft Office applications (Word, Excel, Outlook, Access)

  • Knowledge of Materials Management systems for Procurement and logistics

  • A comprehensive understanding of the overall material management lifecycle

  • Able to leverage active problem-solving skills

  • Capable of managing multiple keys, complex packages with interdependencies of schedule
